Plans and directs all administrative and accounting functions for assigned office or project including personnel, expendable material purchasing, cost control, receiving, and the like. Directs and/or prepares payroll, accounts payable, reconciliations, bank charges, and field invoices. May direct office administrative staff. Usually top administrative person at regional/divisional office or on a large project.
TYPICAL DUTIES:
· Manage and supervise the assigned administrative staff of accountants, secretaries, clerks, switchboard operators, buyers, receivers, etc. to provide an efficient team to successfully support office or project requirements.
· Prepare or direct the preparation of payroll, accounts payable, reconciliations, bank charges, and field invoices.
· Direct all personnel administration activities for office or project including recruiting, new hire sign-up, employee orientation, policy and procedure interpretation, and terminations.
· Direct the purchasing of expendable materials and small tools as required and approved by the project manager. Provide material control (receiving) for all materials and equipment required by the office or project.
· Provide support to other offices or project departments to assist in their administrative needs.
· Prepare and maintain various cost and statistical reports to support office requirements and project construction activity. Monitor project budgets and provide field management with progress reports and updates.
· Perform additional assignments per the supervisor’s direction.
REQUIRED QUALIFICATIONS:
A four-year business/accounting degree or equivalent combination of training and experience. At least six years of construction office management experience.
REQUIRED KNOWLEDGE, SKILLS, AND COMPETENCIES:
· Extensive knowledge of standard accounting procedures, company policies and procedures, purchasing and receiving procedures, cost control, and office administration required.
· Proficient communication and organizational skills are essential.
· Proficiency with standard office software.
· Basic recruiting knowhow.
· Make sure all assigned tasks are done promptly.
WORKING ENVIRONMENT:
Work is performed primarily indoors and in the office.
PHYSICAL DEMANDS:
Manual dexterity and sitting for extended periods;
· Frequent standing and walking;
· Occasional climbing stairs, bending, stooping, kneeling, reaching, and crouching;
· Visual acuity to read printed and electronic documents; and
· Lifting and/or exerting force up to 20 pounds occasionally, 10 pounds of lifting/force frequently, and up to 5 pounds of lifting/force constantly to move objects.
