Position Overview:
The Senior Executive Assistant is a pivotal role within our fast-paced, dynamic environment, seamlessly blending remote work with frequent travel to support our CEO. This role is best suited for a highly organized, pressure-resilient individual who relishes the challenge of shifting priorities and navigating the evolving landscape of our business. With a required minimum of 10 years of Executive Assistant experience, candidates with a background in supporting leadership within rapidly growing small businesses will be given preference. Experience in mergers and acquisitions (M&A) is essential for this role, underscoring the need for a candidate who can adeptly handle the intricacies of M&A processes alongside their executive support duties. The Senior Executive Assistant will work in constant collaboration with the Associate Executive Assistant, ensuring a cohesive and seamless execution of duties and responsibilities. Key Responsibilities:

  • Communication Liaison for the CEO: Act as the primary point of contact for facilitating communication with the CEO, ensuring that messages from outside the leadership team are prioritized and addressed efficiently. This role involves assessing the importance and urgency of communications, facilitating an open line of communication while managing the flow of information to the CEO to support decision-making and organizational efficiency.
  • M&A Support: Adept at facilitating mergers and acquisitions, including the management of sensitive financial documents.
  • Executive Support During Travel: Actively accompany the CEO on travels, providing unparalleled support and ensuring all needs are proactively addressed. This role requires a readiness to be on the move, seamlessly managing logistics and facilitating the CEO's agenda to guarantee every trip's success.
  • Meeting Preparation and Attendance: Skilled in preparing for and attending a variety of meetings, with the acumen to take comprehensive notes and spearhead follow-up actions.
  • Task Tracking and Management: Utilize advanced task management tools to monitor and drive progress on key strategic initiatives, particularly through periods of travel and transition.
  • Scheduling and Coordinating Travel: Mastery in managing complex travel arrangements, demonstrating flexibility and efficiency in adapting plans to meet changing business needs.
  • Collaboration with Associate Executive Assistant: Maintaining a close working relationship with the Associate Executive Assistant to ensure continuity and efficiency in executive support.

Skills and Qualifications:

  • A minimum of 10 years of Executive Assistant experience is required, with a strong preference for candidates who have supported executives in the government contracting sector and/or within rapidly growing businesses.
  • Proficiency in Microsoft business apps (SharePoint, OneNote, Teams), Asana or similar task management software, and HubSpot CRM. Ability to learn new software quickly and efficiently.
  • Ability to thrive in a fast-paced environment with frequently evolving priorities.
  • Strong organizational, communication, and interpersonal skills, ensuring effective internal and external relationships.
  • Military experience is a plus.
