Job Summary:
We are seeking a highly organized and resourceful Senior Executive Assistant to provide support to three Vice Presidents within Human Resources. This role will be a vital member of the HR team, playing a key role in managing calendars, coordinating meetings, preparing documents, and handling sensitive information with discretion and professionalism.
Description of Job Responsibilities:
Calendar Management:
- Manage and prioritize the schedules of three VPs
- Schedule and coordinate meetings, conferences, and travel arrangements.
- Anticipate and proactively address scheduling conflicts and unexpected changes.
Communication & Correspondence:
- Screen and manage incoming calls, emails and mail, filtering and distributing information.
- Draft and proofread professional correspondence, presentations and reports.
- Coordinate communication between the VPs and other HR Team members, and external stakeholders
Meeting and Event Management:
- Plan and coordinate HR meetings and events, managing logistics, catering, and AV requirements.
- Prepare meeting agendas and materials, ensuring clear and concise communication.
- Follow up on action items and minutes after meetings.
Project Support:
- Assist with various HR projects as assigned, including research, data analysis, and document preparation.
- Maintain files related to HR initiatives and programs.
- Manage travel expenses and reimbursements for the VP
General Administrative Support:
- Assist with budget development and monitoring, tracking expenses, analyzing reports and providing insights and ensure adherence to budget targets
- Order office supplies and equipment.
- Liaise with other departments and external vendors as needed.
- Maintain a professional and organized office environment
Other Information
Education Requirements:
- High School diploma or GED
- No licensure or certification required.
- Four years of high level administrative/office management experience; preferably in support of a vice-president or president of an organization.
- Microsoft products: Outlook, Word, Power Point, communication and computer skills, time management, technical skills, calendar management, and meeting planning
