This position is responsible for the strategic planning and execution of Deloitte meetings including at Deloitte University (DU) and offsite locations. These meetings require advanced meeting planning expertise and demand a significant amount of interaction and communication with senior leadership as well as internal stakeholders.
Meeting Planning Responsibilities:
- Deliver exceptional client service and communicate with a consultative, solutions-oriented approach.
- Forecast management and impeccable data integrity.
- Strict adherence to meeting protocols (cost saving measures, risk policies, contract approvals)
- Liaison between meeting sponsor and sourcing/scheduling/registration/office operations/vendors/closing; understand and interpret meeting objectives and navigate through the meeting teams’ processes on behalf of meeting sponsor.
- Build relationships and trust quickly with leadership and stakeholders
- Frequent interaction and communication with firm leadership and external clients through meeting registration and coordination
- Execute C-Suite level meeting and events including in client services facing programs.
- Rooms management to minimize financial impact to the firm regarding meeting attrition and Deloitte University utilization.
- Serve as single point of contact for both the sponsor and Deloitte University/the hotel/meeting venue to include coordination on-site.
- Develop, review, and approve detailed meeting specifications.
- Manage contracts for vendors provided services including but not limited to production, event décor, entertainment, transportation, team building, IT, special supplies/materials, temp assistance.
- On-site support for designated meetings to ensure successful meeting execution.
- Flexible schedule to include coverage of evenings/weekends as meeting/event needs dictate.
- Audit and prepare invoices for processing.
- Post meeting reporting and reconciliation
- Frequent interaction with Hotel/DMC/Hospitality Industry sales and operation professionals, supporting Deloitte’s partnerships in a professional manner.
- Moderate travel required.
Qualifications:
Required
- 5-8 years in contracting, organizing, and managing logistical aspects of meetings and events.
- Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future.
- High school diploma
- Proficiency level experience in Microsoft Office applications
Preferred Qualifications
- BA/BS preferred
- Advanced level experience in Microsoft Office applications.
