JOB PURPOSE: The Senior Director of Operations (SDO) works as part of the Executive Team and is responsible for overseeing ongoing campus operations and procedures. The SDO is responsible for daily operations in support areas (IT, maintenance, kitchen, and dock and logistics), monitoring personnel and operational procedures and helping ensure compliance with regulations. Maintenance, kitchen, and dock areas directly report to the SDO. This position is also responsible for vendor management and special projects as assigned. The Senior Director of Operations (SDO) will be unrelenting about promoting and implementing processes and procedures that improve Siena Francis House operations and are consistent with best practices for nonprofits.

The SDO plays a critical role in the leadership for the non-profit organization, supporting Siena Francis House priorities while providing cohesion and fostering collaboration amongst multiple departments and complex initiatives- both future and existing. This position reports directly to the CEO. The SDO will lead, or co-lead, initiatives including but not limited to: accreditation, guidelines and principles compliance, and security.

ESSENTIAL FUNCTIONS:

  • Plan, develop and implement strategies for operations management to meet organizational performance plans within budget and timelines.
  • Ensures activities meet with and integrate with organizational requirements for quality management, health and safety, legal stipulations, environmental policies and general duty of care.
  • Monitor, measure and report on operational issues and opportunities including achievements within agreed formats and timescales.
  • Manage and control departmental expenditure within agreed budgets.
  • Contribute to the evaluation and development of operational strategy and performance in co-optation with the executive team.
  • Establish and maintain archives to operational programs, maintenance programs, ISO and any other programs identified as containing historic value and institutional knowledge.
  • Establish, implement and maintain short- and long- range departmental goals, objectives, policies and operating procedures.
  • Oversee development of and adherence to organizational policies and procedures.
  • Assume overall responsibility for the day-to-day performance of all of the functions and activities that are supervised by managers/directors who report to the SDO.
  • Contributes to the creation and stewardship of organizational culture and ethos, both internally and externally.
  • Supervises 3-5 direct reports including kitchen, dock, maintenance, and IT. In-direct supervision of 7-10 individuals.
  • Oversee all operations daily and reports directly to the CEO, ensuring that all business operations are smooth and efficient.
  • Implement HIPPA compliance program for compliance related to federal regulations.
  • Establish productive working relationships between and among the Senior Leadership Team, CEO and the staff to ensure that Siena Francis House operates profitably and productively.
  • Helps establish and execute organizational priorities on weekly, monthly and long-term basis.
  • Other duties as assigned throughout the organization.

KNOWLEDGE, SKILLS AND ABILITIES:

The SDO will take Siena Francis House priorities and direction and translate them into day-today standard operating procedures. He or she will monitor and assess ongoing strategies, conduct midcourse corrections and generally keep the senior leadership team informed of Siena Francis House’s operations, including how its finances, technology, staffing relate to important goals. In order to do that effectively the incumbent will have the following:

  • Background of success in process improvement, change leadership and change management.
  • Commitment to results; “can-do” mindset with emphasis on accountability.
  • Ability to recruit, train and manage staff to perform a wide variety responsibilities.
  • Ability to assimilate a high volume of information across disciplines and departments, providing leadership and support to senior staff and experts in each of those disciplines.
  • Ability to creatively problem solve, and make and implement decisions quickly and soundly.
  • Experience at strong motivational and staff leadership abilities.
  • Knowledge of nonprofit best practices.
  • Knowledge of HPPA compliance and mental health and substance abuse services.
  • Ability to thrive in a fast-paced environment and exemplify leadership and composure under pressure, while maintaining high morale.
  • Ability to work with a wide range of people representing various backgrounds, levels of training, and career stages.
  • Experience in project management and leading projects.

EDUCATION AND EXPERIENCE REQUIREMENTS:

  • A bachelor’s degree
  • 3 to 5 years successful senior leadership experience
  • A valid driver’s license
  • Excellent management and communication skills.
  • Highly detail oriented.
  • Excellent communication and presentation skills
