KIPP NYC Public Schools is a non-profit network of 18 free, public charter schools in the Bronx, Brooklyn and Manhattan. We partner with families and communities to create joyful and rigorous schools in pursuit of a more just world. In 1995 we started our first middle school, KIPP Academy, in the Bronx, with a vision that every child grows up free to create the future they want for themselves and their communities. Today, our network consists of eight elementary schools, nine middle schools, one high school, and KIPP Forward, a comprehensive program to support our students and alumni in choosing and preparing for the educational and career paths that fit their goals and sense of purpose. Job Description
Position Overview:
The Senior Associate, Office Operations will have an essential role in managing and maintaining internal office systems, including communication protocols, administrative procedures, and shepherding a collegiate atmosphere with the support of the Office Operations Team. Reporting to the KIPP NYC Associate Director of Special Projects, the Senior Associate, Office Operations will be based in the New York office of KIPP NYC and KIPP Foundation.
This role is based in NYC and requires regular travel to our central office in Times Square and may require limited travel to our schools for specific occasions. Cadence and frequency of travel to schools is determined by your leadership team. If you relocate outside of a commutable distance or out of the state of NY, your employment will be subject to review, which may include separation from KIPP NYC. It is important that you notify HR if you move or have plans to relocate.
Duties and Responsibilities
Office Management
- Serve as the leader of the Office Operations team by facilitating a regular cadence of joint organization management meetings, Office Operations meetings, managing the front desk duty schedule, coordinating and ensuring completion of tasks related to Office Operations, and leading monthly space/inventory audits.
- Manage the Office Operations budget, ensure sustainable and responsible spending, identify cost-saving opportunities, reconciling expenses, and process invoices for timely payment.
- Independently manage and oversee internal shared space resources calendar to ensure resources are used effectively, navigating and preventing space conflicts, and ensuring successful execution of events and meetings.
- Champion Office Operations policies and ensure that departments and colleagues adhere to and comply with established best practices and procedures.
Day-to-Day Office Support
- Serve as the primary point person and relationship manager for 1501 Broadway building management, KIPP NYC and KIPP Foundation staff support, as well as interacting and collaborating with all external vendors, internal stakeholders, and senior leadership.
- Be accountable for the oversight of overall day-to-day Office Operations by maintaining appearance and atmosphere of all common areas, enforcing policies and procedures, handling correspondence, managing storage spaces, and overseeing supplies, equipment, assets, and inventory across shared spaces.
Front Desk Support
- Direct general incoming and outgoing communications, mail, packages, and deliveries to the appropriate parties
- Foster a positive experience and welcoming environment for all visitors, guests, and staff to the New York office
- Lead new employee office orientation to onboard new hires to office procedures and norms, including building IDs, keys, guest passes, and general office related security
KIPP Foundation Liaison
Serve as a primary point of contact managing the needs of the KIPP Foundation’s New York office in partnership with the KIPP Foundation Senior Director of Operations.
Qualifications
Qualification and Skills:
- Bachelor’s degree preferred with minimum of 2-5 years’ work experience in operations
- Proven experience in office management with a focus on operational and service-oriented excellence
- Excellent written and verbal communication skills
- Strong interpersonal skills, with the ability to develop productive working relationships with stakeholders of diverse perspectives and experiences
- Excellent time management and prioritization skills
- Meticulous attention to detail with an ability to produce high quality work in a dynamic, fast-paced environment
- Ability to exercise discretion and judgment with the handling of highly sensitive and confidential information
- Ability to identify operational issues and recommend and implement solutions to resolve problems.
- Proficiency with Microsoft, Google Suite, Zoom, and Teams.

Compensation and Benefits:
KIPP NYC offers a competitive salary ranging from $71,070 to $81,370 per year. Salary ranges at KIPP NYC are standardized based on role level and role function. Individual salaries are determined through a lens of equity, accounting for years of experience relevant to the role and scope of responsibilities, and are benchmarked against others within the same salary band. Starting salaries typically fall in the lower half of the salary range, however they are ultimately determined by scope of the position, the candidate's relevant experience, and internal equity.
