YOU
As the Senior Administrative Assistant, you will be instrumental in supporting the Branch's ongoing initiatives and project tracking from a virtual office setting. The ideal candidate is experienced in remote work, exhibits advanced computer and digital collaboration skills, and adapts quickly to new systems and remote working environments. This position requires a proactive, self-starter who possesses exceptional multi-tasking and communication skills, both oral and written. A high level of professionalism, organization, and flexibility are essential.
WHAT YOU’LL BE DOING (% of Time)
Advanced Administrative Support and Project Tracking: Schedule and coordinate meetings remotely using MS Teams. Efficiently handle meeting note-taking during virtual meetings, ensuring accurate documentation and transformation into actionable project updates and tasks. Perform office tasks remotely, including data entry, digital organization, and creating reports in Word, Excel, and SmartSheet with proficiency in advanced functions. Strong digital communication skills and the ability to manage tasks effectively in a remote environment are essential. (50%)
Project Follow-Up and Coordination: Track the progress of various projects across the branch remotely, ensuring timely milestone completion. Utilize MS Teams and project management software and to communicate action items and updates effectively and maintain organized electronic project documentation. Experience in remote project coordination and digital tool proficiency is key. (40%)
Miscellaneous Administrative Tasks: Handle a range of administrative duties remotely, providing backup and support as needed. Adapt to changing needs and additional responsibilities in a remote work setting. Strong problem-solving skills, the ability to prioritize tasks in a virtual environment, and effective use of digital communication tools are crucial. (10%)
DESIRED SKILLS AND EXPERIENCE

- A four-year degree or technical school certificate in Business, or equivalent experience, is Preferred.
- 5+ years working in an office environment, with remote work experience highly desirable.
- Microsoft Office Proficiency: Advanced skills in Microsoft Office (Outlook, Word, Excel, PowerPoint) are essential. Proficiency in SharePoint and familiarity with remote collaboration tools like MS Teams is Required.
- Communication Skills: Strong ability to effectively present information in virtual one-on-one and group situations. Must possess clear, concise, and organized writing skills tailored for a remote audience.
- Adaptability & Flexibility in a Remote Environment: Ability to think and act effectively under pressure, especially in a remote work setting.
- Attention to Detail: Strong organizational skills are crucial. Must achieve thoroughness and accuracy in tasks, with a heightened focus on managing remote workflows and documentation.
- Calendar and Project Coordination: Experience in maintaining a comprehensive calendar of project milestones and deadlines, and proficiency in using project management software and tools for remote tracking and reporting.
- Self-Management and Initiative: High level of initiative, effort, and commitment towards completing assignments in a timely manner, particularly important in a remote work environment.

WORK STATUS & LOCATION
This full-time, non-exempt position is based in Stockton, CA. Remote available but must be able to work PST.
RELOCATION
Relocation is not available for this position.
PAY
$22.16 - $33.80 / hour
- Posted pay range is based upon national average and may vary depending on geographical work location.
