The Senior Administrative Assistant provides advanced administrative support to the Vice President, Specialty and US Therapeutics Operations Controller and leads the organization and coordination of events and activities for the organization.
Responsibilities:
- Schedules US Therapeutics financial reviews by partnering with senior AbbVie executive’s Administrative Assistants.
- Maintains and manages the executive’s calendar. This includes monitoring and prioritizing calendars highlighting shifting conflicts proactively and effectively managing matrix leader demands.
- Professionally interact with AbbVie senior executives.
- Consistently handles confidential or business-sensitive information with the utmost integrity and discretion.
- Manages VP meeting and travel scheduling and domestic and international travel arrangements and processing expense reports.
- Coordinates and maintains departmental SharePoint and Teams sites.
- Assists in creating or modifying business documents, and preparing presentations from source materials.
- Follows purchasing and requisition procedures, Corporate Security and Privacy Rules and Corporate Branding Guidelines.
- Uses and understands Microsoft Office Suite and other business-specific software, including Corporate Travel website (CTE), SAP/SRM, DSP and other programs.
- Leads the planning of the semi-annual Town Hall and quarterly team social events.
- Coordinates team offsite events.
- Maintains the team organizational chart.
- Coordinates new hire onboarding activities and office set-ups, and office/cubicle moves.
Qualifications:
- High School diploma or equivalent. Some college preferred.
- 5+ years previous admin experience or equivalent, experience providing support to a group head/VP level or equivalent preferred.
- Advanced knowledge of Microsoft Office Suite including Teams, Adobe Acrobat, Visio or OrgPlus, and Outlook.
- Operates with little instruction and minimal supervision.
- Demonstrated ability to navigate large organizations (with multiple and matrixed layers) to successfully set up key meetings and events.
- Builds strong relationships with peers and cross-functionally with partners outside of group.
- Team-oriented, can-do attitude and desire to be a contributor to overall organization.
- Learns quickly and can change course quickly.
- Open to suggestions and innovation for improvement.
