Position Summary:
The Sector Coordinator/Executive Admin (EA) for Aerospace & Defense (A&D) will be a key member of the A&D leadership team, providing support for coordination, action management, calendaring, travel and expenses, along with management and oversight of special projects, as needed to the A&D Sector President and Business Unit (BU) Presidents. To perform these tasks effectively, you will become familiar with the products, people, and organizational dynamics within TTM. You will understand how to handle, with a great degree of independence, incoming asks for time, meetings, resources and other needs. In addition to supporting these personnel, you will be responsible for determining when to refer matters to others, and to whom they should be referred. You will be responsible for following up to ensure proper disposition, and make sure nothing falls through the cracks. You will become a core member of the team, frequently attending weekly staff meetings.
In addition, this role oversees a small team of Administrative Assistants across the A&D sector, providing management, coaching, and work direction. Daily tasks are carried out at a higher level of complexity, including researching issues, analyzing problems, determining approaches, compiling data and preparing presentations and reports. Due to the frequent engagement of leaders across TTM as a whole, this individual will collaborate with and coordinate activities with other EA's and executives. Work is generally of a critical and confidential nature.
Duties and Responsibilities:

  • Support the A&D Sector President, Business Unit Presidents and the broader A&D Leadership Team
  • Manage team of Administrative Assistants across the A&D Sector, providing guidance, work direction, and mentorship
  • Presentation Development: Gathers and builds presentation material for key monthly, quarterly, and ad hoc meetings, paying close attention to consistency and accuracy of content as well as timelines for approvals and delivery of final documents
  • Action Tracking & Task Management: Captures A&D teams' actions, tracks due dates and owners, communicates regularly on status and provides reminders to owners and team
  • Calendar Management: Coordinates business cadence with Sector leadership and CEO EA to ensure clear understanding of weekly, monthly, quarterly, and annual meetings, events, and deliverables. Manages calendars by prioritizing schedules and meetings. For example, may decide who gets on Sector President's calendar, which meetings are attended, and who can attend in their place.
  • Meeting Planning and Organizations: Assist A&D Leadership Team in planning and organizing meetings by taking responsibility for assembling the agenda, location, meeting technology (WebEx) based upon participant needs, and all other meeting logistics. May further prepare meeting briefing documents by taking and disseminating notes and formulating post meeting action item lists.
  • Correspondence/Approvals: Support by acting as proxy for communications and approvals as authorized. Answer general questions as necessary and refer (filters) routine matters to appropriate parties and follows up to ensure accurate disposition.
  • Travel: Responsible for making travel arrangements for the team as needed. Carefully considering and deciding the optimum travel arrangements and itinerary for calendared meetings, and managing expenses.
  • Special Projects: Provide analytical support to assist Sector and Business Unit Presidents on special projects. Research issues, analyze problems, compile data, and prepare reports.

Essential Knowledge and Skills:
  • Microsoft office suite - Excel, Outlook and PowerPoint. Adobe and Visio are widely used
  • Excellent verbal and written communication skills including the ability to communicate with all levels of Executive/Senior staff and clients.

Required Education and Experience:
Education: Bachelor's degree preferred with several years experience handling executive administrative duties. Notary public is preferred as well. You have worked in a global environment and can support diverse, remote teams.
Experience: 5+ years administrative and executive support; experience managing others and leading teams; experience in a corporate environment required, Aerospace & Defense industry experience preferred

Compensation and Benefits:
TTM offers a variety of health and well-being benefit programs. Benefits are available on the 1st of the month following date of hire. For some positions, only PTO and holiday benefits are offered.
Compensation ranges for roles at TTM Technologies varies depending on a wide array of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; certifications; and other business and organizational needs. The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. At TTM Technologies, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on each individual set of circumstances. A reasonable estimate of the current range is:
$65,826 - $109,710
Additional compensation: An annual or quarterly company bonus may apply based on position assignment. Positions hired for alternative shift may be eligible for a shift premium based on the assigned shift and location.

Must comply with TTM Export Control Policies and Procedures and all applicable laws including ITAR, EAR and OFAC including but not limited to: a) being able to identify ITAR product on the manufacturing floor and understand that access to these products and related technical data is restricted to only US Citizens and US Permanent Residents; b) recognition of Foreign Person visitors by badge differentiation; c) understand and follow authorization procedures for bringing foreign visitors into facilities (VAL); d) understand the Export and ITAR requirements for shipments leaving the US; e) manage vendor approvals for ITAR manufacturing and services.
