CABELL COUNTY PUBLIC SCHOOLS JOB DESCRIPTION POSITION: Secretary II/III Cabell County Career Technology Center REPORTS TO: Director Cabell County Career Technology Center EMPLOYMENT TERM: 235 Days Flex - Modified Schedule (Hours to be determined by the Principal/Director) SALARY: E/F QUALIFICATIONS: 1. Successfully passed the WV Department of Education Competency Test for Secretary. 2. Have knowledge of purchasing, banking and budgeting procedures, including account codes, requisitions, reconciling bank statements, and account payable. 3. Ability to work as a team member to accomplish the goals and objectives of the CCCTC. 4. Maintain high level of confidentiality and agree to sign an "Agreement of Confidentiality" prior to accepting the position. 5. Meeting employment standards for the position including high school diploma or GED. 6. Ability to comprehend and retain WV State Law governing GED policies. 7. Demonstrate proficiency in WVEIS; Microsoft Word and Excel; Individual School Accounting. 8. Demonstrate proficiency in Outlook E-Mail service and WVEIS Office Vision to comminute, access and send documents. 9. Ability to work independently and cooperatively with others. 10. Willing ness to attend annual mandatory training seminars for the VA and the GED conference. 11. Ability to perform multiple office operations in a highly organized, accurate, systematic, productive, and professional manner. 12. Demonstrate good communication skills, written and verbal with the public, school employees, and other agencies. 13. Demonstrate good attendance and punctuality. MAJOR DUTIES/RESPONSIBILITES: 1. Perform secretarial and accounting services for the Principal/Director of CTE. 2. Maintain budget accounts, including Federal, State and School funds. 3. Assist in the preparation of the CTE LEA Plan, Adult and Basic Education Plan. 4. Monitor all budget accounts and prepare all close-out financial reports and affidavits as required by the State Department of Education and Cabell County Schools. 5. Maintain all accounting records and be responsible for the accounting process associated with billing, budgets, purchasing, and account payable including, but not limited to, teacher allocations, faculty senate funds and financial aid accounts. 6. Reconcile and remit the monthly reimbursement of salaries due to the Cabell County Board of Education. 7. Work with CTE financial aid advisor to insure funds are transferred into appropriate accounts in a timely manner. 8. Coordinate all aspects of the GED process. 9. Maintain accurate payroll information for Evening Staff. 10. Set-up and maintain CCCTC personnel files (Professional and non-professional.) 11. Train and supervise the activities of the evening Work-Study students. 12. Coordinate courses, room assignments, and billing for Evening/Weekend building usage. 13. Maintain calendar for facility use and coordinate with custodian. 14. Assist outside agencies utilizing the building. 15. Formulate new fiscal year forms, Adult Evening Programs calendar, long-term sill/tuition list, book price list, and supplemental employment list to Board of Education. 16. Assist principal in securing information and preparing state and federal reports in a prompt and orderly fashion. 17. Work in all areas of the financial aid. Process Pell pull downs, complete cost of living requisitions and distribute checks to students promptly. 18. Answer telephone for the Evening Programs, provide information to the public on all adult preparatory education programs and Evening Adult Courses (School policy, curriculum, financial aid, etc.) 19. Prepare/Supply Evening Student transcripts, certificates, and requests of copies to job verification agencies. 20. Prepare requisitions for purchasing office supplies, textbooks and classroom supplies for Evening Instructors. 21. Receipt tuition payments for Evening Adult students and External Diploma Program fees, post payments to student files, calculate tuition balances, and prepare daily deposit. 22. Maintain Evening students in database in WVEIS. 23. Maintain student attendance records. 24. Enter/Maintain Military Veteran students in database for VAOnce, process educational benefit forms. 25. Monitor grades and attendance. 26. All other work-related duties as assigned by the Principal/Director
