Supervisor: Director of Human Resources
Job Objective:
Serve as the human resources department secretary responsible for recruitment duties and Onboarding of new employees. Works under the direction of the Human Resources Director to recruit, develop, and retain highly effective teachers, leaders, and staff members committed to continuous improvement and excellence.
Minimum Qualifications:
High school diploma or equivalent.
Documented evidence of a clear criminal record.
Proficient in data entry and customer service.
Proficient in office protocols, proofreading, and the correct use of grammar.
Proficient in data entry and the maintenance of computerized records.
Proficient in the use of computer software and maintenance of office records.
Multitasking ability and strong interpersonal skills.
Responsibilities and Essential Functions of the Position:
1. Performs clerical duties. Organizes and maintains a functional filing system that ensures the safe retention of office records. Keeps materials properly filed to maintain an orderly office.
2. Upholds board policies, follows administrative procedures and complies with the Employee Code of Conduct. Upholds computer technology acceptable use policies.
3. Promotes a favorable image of the school district.
4. Respects personal privacy. Maintains the confidentiality of privileged information.
5. Acknowledges visitors. Determines the reason for their visit. Answers questions. Verifies appointments. Directs visitors to the appropriate person or office.
6. Answers the telephone. Directs calls based on the nature of the inquiry. Takes messages. Manages calls efficiently to keep telephone lines open.
7. Helps maintain an office calendar. Schedules appointments as directed.
8. Helps process incoming, outgoing, interoffice mail and faxes.
9. Posts job openings. Assembles applicant files. Prepares materials for interview committees. Coordinates interview schedules.
10. Coordinates the District's Applitrack online application database. Provides training as directed.
11. Schedules on-boarding appointments with all new staff. Creates onboarding packets and ensures all required paperwork is complete and accurate.
12. Enters all new hire data in USPS and processes all paperwork through the new hire checklist.
12. Issues contracts and salary notices for all new staff based on Board approval.
12. Coordinates new staff orientation with the Director of Human Resources.
13. Assist staff with licensure accounts within ODE's SAFE account system.
14. Processes background checks for staff as needed.
15. Tracks certifications for all supplemental contracts. Issues supplemental contracts as directed. Coordinate athletic certifications with the Athletic Director.
16. Maintains and assigns all email addresses through the Active Directory. Processes request as directed.
17. Maintains all ID badge access through the Active Directory. Processes request as directed.
18. Maintains a substitute staff list for the District. Assigns roles and manages AESOP system.
19. Assigns reserve teachers daily based on building needs and under the direction of the HR Director.
20. Manage staff caller system for the District.
21. Serve as back-up personnel for HR Payroll.
22. Takes precautions to ensure staff and student safety. Reports unauthorized persons or suspicious circumstances immediately.
23. Reports evidence of suspected child abuse as required by law.
24. Cross-trains with other office staff. Offers assistance when needed. Works collaboratively with other staff members.
25. Keeps current with advances in office technology. Updates office procedures.
26. Participates in staff meetings and professional growth opportunities as directed, as well as actively pursues professional growth and development.
27. Accepts personal responsibility for decisions and conduct.
28. Wears appropriate work attire and maintains a professional appearance.
29. Strives to develop rapport and serve as a positive role model for others.
30. Performs other specific job-related duties as directed.
