SALARY: $31,946.00 -  $41,419.00 (or per the 2023-2024 Salary Schedule)

SCHOOL DISTRICT OF SUWANNEE COUNTY
SCHOOL SECRETARYJOB DESCRIPTION
 
QUALIFICATIONS:
  1. High School Diploma or approved equivalency diploma.
  2. Successful completion of business education secretarial skills training, or
  3. A minimum of three (3) years of successful secretarial experience.
  4. Or other appropriate certificates/licenses required by the District.
               
KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of office practices and procedures.  Knowledge of and ability to use word processing, databases and spreadsheet applications.  Skill in the human interaction and conflict resolution.  Skill in the operation of standard up-to-date office equipment.  Ability to communicate effectively both orally and in writing.  Ability to plan, organize and prioritize activities related to assignment.  Ability to carry out job responsibilities and handle sensitive information in a confidential manner.  Ability to work independently and make decisions with minimum supervision.  Ability to type accurately at a prescribed rate.  Ability to answer a telephone in a professional and courteous manner.

JOB GOAL
                To promote a positive work environment by providing efficient services to students, parents, administrators and the public and to maintain accurate and current school databases.

PERFORMANCE RESPONSIBILITIES:
 
Service Delivery
* (1)        Maintain student data files in computer as appropriate or assigned.
* (2)        Operate office machines and complete correspondence, forms and reports as required.
* (3)        Duplicate, assemble and distribute documents as required.
* (4)        Assist in maintaining files.
* (5)        Act as a receptionist, greeting the public in a courteous and helpful manner.
* (6)        Assist staff and public by answering routine questions, scheduling appointments and completing forms.
* (7)        Assist with the registration and withdrawal of students as assigned.
* (8)        Assist with student record maintenance and transfer/receipt of student records as assigned.
* (9)        Distribute report cards, progress reports and other communication as assigned.
*(10)       Assist with student discipline records as assigned.
*(11)       Assist with the development/inputting of the master schedule as assigned.

*(12)       Meet and deal effectively with the general public, staff members, students, parents, administrators and other contact persons using tact and good judgment.
*(13)       Follow attendance, punctuality and proper dress rules.
*(14)       Ensure adherence to good safety standards.
*(15)       Maintain confidentiality regarding school matters.
*(16)       Model and maintain high ethical standards.
*(17)       Demonstrate initiative in the performance of assigned responsibilities.
*(18)       Participate successfully in the training programs offered to increase skill and proficiency related to assignment.
Inter/Intra-Agency Communication and Delivery
*(19)       Assist in answering telephones and distributing mail.
*(20)       Assist in preparing communications for students and/or parents regarding various activities and announcements at the school.
*(21)       Communicate effectively with students, parents, staff and administrators.
*(22)       Keep supervisor informed of potential problems or unusual events.
*(23)       Respond to inquiries and concerns in a timely manner.
*(24)       Serve on school/district committees as required or appropriated.
System Support
*(25)       Exhibit interpersonal skills to work as an effective team member.
*(26)       Follow federal and state as well as School Board policies, rules and regulations.
*(27)       Demonstrate support for the School District and its goals and priorities.
*(28)       Demonstrate initiative in identifying potential problems or opportunities for improvement.
*(29)       Prepare all required reports and maintain all appropriate records.
*(30)       Participate in cross-training activities as required.
 (31)        Perform other tasks consistent with the goals and objectives of this position.
 (32)        Shall assume additional responsibilities as assigned by the Superintendent.
 
PHYSICAL REQUIREMENTS:  
                Light Work:  Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force regularly to move objects.
 
TERMS OF EMPLOYMENT:
Salary and benefits shall be paid consistent with the District's approved compensation plan.
Length of the work year and hours of employment shall be those established by the District.
               
EVALUATION:                
Performance of this job will be evaluated in accordance with provisions of the Board's policy on evaluation of personnel.
