Thomas, Director of Business & Human ResourcesDATE: November 15, 2023RE: VACANCY NOTICE - 2023-2024 Assignment Opportunity SECRETARY - HIGH SCHOOL Classification IB - 225 Days - 8 hours per day Nature of the Position:Under the general direction of the Building Principal, the secretary performs various administrative duties and responsibilities required, using knowledge of the school district's rules, regulations, practices, and procedures. The secretary exercises independent judgment in performance of job duties.

Specific duties and responsibilities vary with school assignments. Minimum Qualifications:High School diploma required.Secretarial/clerical experience required; High School secretarial experience preferred.Bookkeeping skills required.Demonstrated ability to operate office equipment, business machines and computer software programs including Microsoft Office (Word/Excel/Publisher/PowerPoint, etc.).Demonstrated ability to work with networks, databases/student records, pupil accounting, and data backup procedures.Must always maintain confidentiality.Ability to be a "Team Player", get along and communicate with staff, administrators, public and others.Maintain a professional manner for a school environment, which includes but not limited to appearance and dress, use of personal cell phone, communication skills, and work ethic.A pleasant telephone and person-to-person personality.Demonstrated ability to perform computer skills, word processing, filing and organizational skills.Such alternatives to the above as the Superintendent or his/her designee may find appropriate and acceptable. Reports to: High School Principal Duties & Responsibilities Include: Compile data: prepare a variety of records, manuals and reports as requested which include, but are not limited to, teacher absences, substitute teacher information, paraprofessional work schedules, payroll reports, enrollment records, CA-60s, pupil accounting reports, accident, student accounting, internal activity accounts, Macomb All Academic report, and Health Department reports.Prepare and maintain Principal's records and files.Maintain confidential student files and records, i.e., grades, psychological, court and medical documents.Coordinates Open House.Handle check in and check out of substitute teachers and organizes employed teachers to sub in uncovered classes when no substitute is available.Maintain staff leave information to be approved by principal and then for payroll processing.Serves as liaison for Armed Forces, scheduling visits and providing information when requested.Assists with Back-to-School packets.Responsible for High School monthly newsletter.Receive visitors, phone calls, and other types of contact with the public, parents, students, teachers, and other district personnel; receive and place phone calls for the principal; provide appropriate assistance and information.Prepare Student Work permits.Serves as back-up to the counseling secretary and can perform the dutie(s) of this position when required.Serves as back-up to the attendance office operations and assists in daily operations when needed.Responsible for scheduling and coordinating college visits for students.Schedules, organizes, and assists substitutes when teachers and paraprofessionals are absent.Schedule building use for meetings and extra-curricular activities; coordinate scheduling for parent/teacher conferences.Maintain school's monthly calendar, schedule meetings and appointments for the principal.Maintain school's website and marquee.Program, maintain, and verify building bell schedule.Maintain budget control of general ledger for High School and various student accounts, as assigned.Prepare and deposit building cash receipts, responsible of building safe.Required to attend, with pre-approval from principal, relevant data processing/computer skills/user meetings, workshops, and training seminars.Serve as liaison to teaching staff for purchasing and procurement of materials.

Type purchase orders and requisitions, receipt of items, and processing completed orders for payment.Prepare various school mailings/publications/newsletters, as requested.Dispense prescribed medication to students according to parental/doctor requests and document accordingly. Responsible for the secure storage of medications.Contact emergency medical personnel (as needed) and/or parents/guardians when there is an illness or injury. Complete district injury reports.Type and proofread letters, memos, charts, forms, and reports from rough drafts and/or dictation.Assist with the development of school office's administrative practices and procedures.Receive, sort, and distribute the school mail.Perform additional duties which may include training paraprofessionals, students, and lower-level clerical employees; ordering and maintaining office supplies; ordering textbooks; receiving and recording activity and other fees; maintaining petty cash account; registering voters and students for the selective service; arranging computer repairs; ordering and maintaining school inventory and preparing bulletins and newsletters.Help to maintain the working condition of photocopy machines and makes necessary maintenance requests to service departments.

Make any photocopies as needed.Serve as the liaison to paraprofessionals, lower-level clerical, and student employees.Complete special projects as assigned.Change in assignments and/or job duties/responsibilities as deemed necessary by the Superintendent of Schools.The employee shall remain free of any alcohol or nonprescribed controlled substance abuse in the workplace throughout his/her employment in the District.Employee shall properly implement Board Policy 3122, Policy 4122, and Policy 2260 on non-discrimination and shall comply with Federal and State laws and regulations, particularly Part 1 104 of Section 504 Rehabilitation Act of 1973 (34 CFR) and the Americans with Disabilities Act (ADA). Compensation: Class IB position (as outlined in the current CBA) Entrance Level: $18.30 Maximum Level: $21.87 Terms of Employment: 225 days, 8 hours per day, 5 days per week ADA Requirements include General school office environment; extensive computer work, extensive interaction with students, staff, parents, and the general public; sitting, standing, walking, bending, stooping; ability to lift a minimum of 50 lbs.; research; filing.
