Description
**The list will be valid for 6 months for current and upcoming vacancies throughout the district. This position is 40 hours per week/ 11 months per year.
*This recruitment will be used to fill vacancies at Stone Ranch Elementary, Morning Creek Elementary, and future vacancies District-wide*
BASIC FUNCTION:
Under the direction of an Elementary School Principal, organize, coordinate, schedule and perform a wide variety of complex administrative activities; perform public relations and communications services for the Principal to support District personnel, parents and the local community; relieve the Principal of a wide variety of technical and administrative detail; train and provide work direction to volunteers and assigned staff.
Examples of Duties
REPRESENTATIVE DUTIES:
Coordinate office activities to assist the Principal in administrative tasks; provide leadership to School Administrative activities frequently in the absence of the Principal; prepare and accurately maintain a variety of reports, records and files related to students, staff, operations and activities including those of a confidential nature. E
Serve as an assistant to the Principal, working independently to assist with administrative matters as appropriate; serve as site representative for Worker's Compensation; compose correspondence independently; prepare, type and distribute communications; schedule appointments and meetings; make travel arrangements; receive, open, prioritize, distribute and answer mail. E
Receive and respond to visitors, telephone calls and complaints from the public, staff and parents; exercise independent judgment in resolving routine matters or directing to appropriate departments; represent the school and Principal at various events; interact with parents and outside agencies regarding critical events or emergencies. E
Lead the activities of the office staff providing training, technical leadership and direction as necessary; assure compliance with established procedures; establish work priorities and provide input to performance evaluations; serve as a resource person for other District secretarial and clerical staff; develop and implement office systems and procedures. E
Provide information to students, staff and the public concerning District policies, school procedures, actions, activities and schedules as appropriate; maintain school calendar and coordinate school events as requested. E
Collect, compile, organize and record a variety of data related to attendance, enrollment, personnel, payroll, equipment inventory and student activities; prepare and maintain related records, files and logs. E
Collect and account for monies collected in conjunction with school activities; secure monies and process according to established procedures. E
Provide leadership in operating a variety of sophisticated student and administrative software; train others; prepare a variety of student and school-related reports. E
Serve as liaison between community, contractors, staff, students and parents; participate in and attend a variety of meetings as assigned. E
Enroll, register and schedule new students; complete enrollment information and enter into computer; complete records for the release or transfer of students. E
Operate a variety of office equipment including a calculator, copier, computer and assigned software, communications equipment and other school office equipment. E
Assist in orienting new teachers and assure substitute coverage for certificated and classified personnel; provide keys and instructional materials and maintain related records; coordinate existing staff to cover schedules and others as needed. E
Oversee preparation of daily and monthly attendance reports for staff; check out keys; secure building, inspecting perimeters, locking doors and setting alarms; facilitate security for the school site. E
Perform a variety of problem-solving tasks in support of the school and District operations. E
Maintain accurate and current student emergency release information and oversee the release of students to authorized parents, guardians or approved individuals. E
Prepare a variety of budget and financial materials, correspondence reports and statistical information utilizing automated budget systems; assist others with payroll and personnel matters as appropriate; process contracts for consultants and make necessary arrangements; maintain and balance school accounts, reconcile budgets and maintain student funds. E
Requisition, receive, store and distribute supplies and office materials; maintain materials and equipment inventory as assigned; prepare work order requests. E
Serve on school and District committees as assigned. E
Provide clerical assistance to faculty and staff as needed. E
Administer routine first aid to students and staff as assigned by the position; dispense medication according to physician instructions and District policy; notify parents of ill or injured students as needed.
Perform related duties as assigned.
NOTE: At the end of some of the duty statements, there is an "E" which identifies essential duties required of the classification.
Minimum Qualifications
EDUCATION AND EXPERIENCE:
Graduation from high school and three years of increasingly responsible clerical or administrative office experience involving frequent contact with the public.
LICENSES AND OTHER REQUIREMENTS:
Some positions in this classification must obtain a valid First Aid and CPR certification issued by an authorized agency within six months of employment.
SELF-CERTIFICATION OF TYPING/KEYBOARDING SKILLS:
* This classification requires that incumbents be skilled in typing/keyboarding at a minimum of 45 words per minute. A typing test will not be given. Applicants must certify in writing that they have such skills. Demonstrated proficiency will be expected during the probationary period for the class.

Dexterity of hands and fingers to operate a computer keyboard.

Bending at the waist, kneeling or crouching, reaching overhead, above the shoulders and horizontally to retrieve and store files and supplies.

In accordance with Personnel Commission Rules and Regulations of Classified Service # 70.200.1, new employees to Poway Unified School District will be placed at Step 1 (Minimum Salary) of the official salary range designated for the position. Any variances in initial placement are addressed in, and shall be carried out in agreement with, this rule.
