Essential Job Functions:
- Execute complete and accurate telephone and email service including routing of certain calls to other associates and in-house guests.
- Receive visitors and courteously handle inquiries and complaints or direct them to the proper manager for assistance.
- To maintain a neat and organized office.
- Create Sales kits and conduct monthly inventories of departmental supplies, including collateral. Restock supply as necessary.
- Type all documents requested by the Director of Sales and the Sales Managers including contracts, letters, memos, forms, manuals, and monthly reports with a strong attention to detail.
- Maintain accurate organized Sales files and archived reports including but not limited to group files, digital signage, invoices, and training.
- Maintain P.O.’s as generated by the Office and assist with processing invoices and filing.
- Enter, retrieve, reconcile, and verify information such as commissions, leads, and third parties
- Assist with selling guestrooms, meeting rooms, and additional services to companies or groups as needed.
- Conduct site inspections and solicit and generate new and repeat business
- Coordinate client events, groups, VIPs working with our Operations team to reserve rooms, amenities, meeting space and ensure event set-up, food and beverage, and equipment needs are to the client’s satisfaction
- Maintain up-to-date knowledge of the competitors’ products to include new inventory, rate shops, and catering menu files
- Operate office equipment (i.e., 10-Key, copy and postage machines, Microsoft Windows 10, etc.)
- Attend weekly Sales meetings and record accurate meeting minutes to be typed and properly distributed.
- Compile and maintain marketing databases including but not limited to data pertaining to: Sales, Guest comment cards, Reservations, email database, business partner contact lists
- Compile monthly Sales report
- To provide professional telephone and email support to the Sales department.
- Communicate with all guests, employees, or business associates in a professional manner, assisting to resolve problems when possible.
- To follow all company policies and procedures.
- To immediately report all suspicious occurrences and hazardous conditions.
- To maintain the cleanliness and safety of work areas at all times.
- Follow all company safety standards, including proper equipment handling to avoid injury to yourself and others.
- To attend all mandatory meetings as directed.
- To perform other tasks, including cross-training, as directed by sales management
- Must be flexible and maybe required to work nights, weekends, and/or holidays.
Essential Experience/Aptitudes:
- Fluency in English (verbal and written) is required
- Must have excellent verbal and written communication skills.
- Highly motivated with a continuous learning mindset
- Must have High school diploma or equivalent.
- Proficiency in Microsoft Office is required.
Desired Skills/Experience:
- Property Management System Opera and Delphi – preferred
- At least 1 year experience in Hotel Operations – preferred
- At least 1 year in a sales position – preferred
- Must be thoroughly knowledgeable of all office systems and relevant machines.
- Must display knowledge of currently accepted business phone and email etiquette.
- Excellent interpersonal skills and the ability to work well with co-workers and the public.
- Possess a courteous, friendly, and professional manner.
- Ability to perform assigned duties with attention to detail, speed, accuracy, follow-through, courtesy, cooperativeness, and work with a minimum of supervision.
- Ability to solve practical problems and deal with a variety of situations.
- Ability to work well under pressure and handle multiple tasks at once.
- Must be detail oriented, organized, and efficient and be able to remain calm under stress.
- High quality standards for production and service.
- Interest in social media content creation and other digital marketing and media creativity
Essential Physical Abilities:
- Periodically required to work at a very fast pace.
- High volume of phone use and email is required.
- Frequently standing up within and outside of the facility
- Type at least 50 wpm; proficient PC computer skills Carrying or lifting items weighing up to 25 pounds
- Communicating with customers, employees, and third parties
- Use a keyboard to generate correspondence, reports, etc.
- Handling objects, products, and computer equipment
- Occasionally required to handle and move objects weighing up to 40 lbs. over short distances.
