Position Summary:

The Sales & Catering Coordinator supports management tasks, customer service and internal communication of Sales and Catering Sales for Stein Eriksen Lodge Deer Valley (Stein’s) and The Chateaux at Deer Valley (Chateaux).

Essential Functions:

• Responsible for ensuring all correspondence and contracts are professional, accurate, and free of spelling and grammatical errors
• Type and process correspondence/contracts and ensure distribution to client within 24 hours
• When sales or catering managers are away from the office has primary responsibility for their incoming phone calls.
• Ability to rapidly adjust to change in daily workflow and sensibly deal with diverse work situations without disruption of efficiency
• Keep active files organized and functioning
• Handles in-house meeting needs from Human Resources – blocks space, sends BEO, etc.

Group Sales:

• Distribute group booking information (Turnovers) and memos to departments
• Prepare summaries as requested by the VP of Sales and Marketing or Director of Sales
• Be familiar with Stein Collection's top accounts and key contacts
• Collect deposits, estimated balances, and final payments for Group events
• Enters lead information in Delphi, track leads
• Organize all amenities and welcome notes
• Order or requisition supplies via an approved purchase order (i.e. office supplies, menus, brochures, stationary, meeting planner kit inserts, sales forms, sales tools, etc.)
• Responsible for keeping meeting planner kits assembled at all times
• Assist with site alerts and pulling rooms for tours.

Catering Sales Functions:

• Handle all incoming wedding/social calls and email leads.  Responds to leads within 48 hours of receiving.
• Write all wedding room only block resumes
• Oversee catering contract turnovers and contract preparation
• Collect deposits, estimated balances, and final payments for catering events
• Enters lead information in Delphi, track leads
• Creates diagrams in Social Tables, as needed
• Work with Maestro sales system for proper account management for catering groups and collecting payments
• Organize all catering amenities and welcome notes
• Schedule and conduct wedding and social site tours, when catering sales manager is unavailable
• Prepare lead information for social guestroom blocks to appropriate group sales manager
• Create site inspection forms for weddings and social sites
• Assist group rooms coordinators with social/wedding room block management

Leisure Sales Functions:

• Biweekly amenity reports - this includes running the reports, reviewing each leisure reservation to ensure it’s properly attached to consortia/preferred partner, prepping amenity slips and welcome notes. This also includes dropping them off at each property.
• Thoroughly trained in both Maestro and Inntopia to assist with quotes, reservations, and straight line availability.
• Reviewing reservations to ensure highest paying ADR guests are in the best suited rooms.
• Content loading (specials/promos) with Consortia’s: Virtuoso, Signature, Internova, etc.
• Assist with site alerts and pulling rooms for tours.
• Assist in content collection from marketing. We often need a number of images when it comes to sharing with our partners and creating new power point presentations.
• AM planning - internal procedures (setting up meals, amenities, etc…)
• Learn the different scopes of our leisure - the difference between tour operators, travel advisors, our preferred partners, our reps, etc…

Education, Experience, and Skills Preferred:

• A minimum of (1) year of Previous Catering, Conference Service, Event Planning and/or Food & Beverage in a luxury hotel business environment experience is preferred.
• High school diploma or equivalent.
• College Degree preferred.
