Position Title:

Research Program Administrator

Job Responsibilities:

  • Develop strategy on sponsored project topics and develop plan for proposals; create budgets with effort planning; and edit and conduct final review of proposal narratives, and related documents; Coordinate with Sponsored Research Services (SRS) to submit project proposals and associated documents to sponsors; and to comply with the terms and conditions of specific sponsored programs and RIT research policies and procedures (including proposal routing forms); Coordinate with SRS and Legal Affairs for compliance forms for Technology Control Plans, Non-Disclosure Agreements and other legal forms.

  • Manage extensive portfolio of projects for the Department Principal Investigators, including on-going individual grant financial analysis, capacity planning, technical review, and real-time financial forecasting for long term project planning and project closeout; Perform account reconciliation and process journal entries necessary to accurately depict grant spending and appropriately budgeted expenses; Responsible for maintaining all budgetary aspects in collaboration with Department Principal Investigators pertaining to grants and contracts.

  • Coordinate with Sponsored Programs Accounting (SPA) to assist with post-award management, reviewing quarterly effort reports for Department PIs, maintain records in compliance with institutional and sponsor policies exclusive to each separate award; Manage customers for recharge and enterprise centers; includes quotes, project scheduling, and invoicing. Create annual financial reports for Department PI researchers, enterprise center and any account reconciliation required for Department recharge centers.

  • Manage the research group personnel for Department Principal Investigators and develop appropriate group policies for sponsored projects; including hiring, appraisals, travel reimbursements; track Post-doc and research scientist EAF and payroll distributions and vacation requests; Review and approve student employee hours, process GRA stipends; create summer salary worksheets for Department PIs with multiple sources, obtain proper approvals. Supervise research team members on the technical/progress reporting as well provide detailed financial reporting, and communicate sponsor programmatic requirements; and participate in occasional travel to sponsor or conference meetings, Plan sponsor review meetings, agendas and hospitality for visits and Department PI presentations.

  • Manage competitive and complex procurement (equipment, materials, services and fabricated equipment), maintaining compliance for federal grants and contracts; complete purchase orders and monitor receiving and payment; Coordinate and manage all consultant contracts and subcontracts.

  • Responsible for human resources to process related research faculty, and staff HR and payroll paperwork (Brassring); Hiring of research scientists and post-docs; hiring research co-ops and student workers (Kronos); GRA stipends (Oracle).

  • Assist Department Office Manager with any HR, accounting, Student Employment, time-keeping and financial reporting/forecasting duties and support Department meetings and events; Coordinate with Lab Manager for facilities upgrades, equipment installation/tagging, and chemical inventory.

Required Qualifications:

Bachelor's degree with 3-5 years prior experience in an administrative position, preferably in an academic or research environment with demonstrated financial competency in budget management and projections. Individual must be able to work independently and exercise good judgment. Strong reading, writing, computing, and interpersonal communication skills are required. The person must have expertise with Microsoft Office and have ability to learn RIT systems quickly.

Job Summary:

The Department of Chemical Engineering at RIT is seeking applicants for a Research Program Administrator (RPA) position to support faculty, staff, and student research activities in the Department. The RPA will provide leadership and administration of department research activities for sponsored awards with principal investigator(s), research staff, students, facilities, and support to the Chemical Engineering Office Manager and Lab Manager. The range of job duties include proposal coordination, award administration functions, financial forecasting for sponsored research, and supporting department events that require faculty and staff involvement. The RPA will collaborate with sponsored research services and sponsored programs accounting on pre/post award sponsored research activities. The RPA will work collaboratively with other administrative areas within the Kate Gleason College of Engineering (KGCOE) and ensuring compliance with sponsor terms/federal regulations and University policies/procedures.
