Program Coordinator
Hours/Shift/Days: Monday - Friday, 9:00 AM - 5:00 AM or 8:30 AM - 4:30 AM

Under the direction of GME Administration, The GME ProgramCoordinator is responsible for the coordination and administration of resident/fellow/medical student/observer education programs, which normally take place over a one year cycle.

You will:
- Independently determine eligibility for over 100 routine observer applicants each year; Answer questions from prospective applicants, review applications and recommend candidates for approval based on a checklist/match requirements; Onboard new medical students, observer and house staff with respect to orientation, housing, Client systems, paperwork, trainee manual, training programs; Communicate with internal departments and external groups, e.g., other hospitals in connection with medical student, observer and house staff onboarding.
- Track onboarding status of program applicants in HR applicant tracking system; Enter data into GME credentialing data base; Prepare registration materials for new house staff, observers and medical students; Create and organize files, mail and faxes; Prepare and mail appointment & re-appointment packages; Perform periodic indexing and scanning of files and affiliation agreements to transfer to electronic record; Monitor the status of institutional affiliation agreements on an ongoing basis; Event planning logistics, e.g., orientation, parties, lectures, etc.; Office reception including telephone inquiries.
- Manage database of paperwork/documentation to provide information to GME Credentials Coordinator to develop action items; Navigate systems needed to manage programs including WorkDay, iCIMS, New Innovations, NYS Health Commerce System; Manages Health Commerce Account activation for over 800 house staff annually; Manage database of institutional affiliation agreements to provide information for GME Administrator.
- Maintain office files to comply with NYS Medical Staff credentialing standards; Enforce observer policies and facilitate compliance with NYS DOH and DOE regulations for house staff.
You have:
- Bachelor’s degree preferred
- Familiarity with hospital/health care environment and/or graduate education
- Proficiency in Microsoft Office

Pay: $34.00 - $35.00 per hour
Expected hours: No less than 37.5 per week
