Title: Program Administrator
Salary: $28.57 per hour
Status: Non-Exempt, Hourly, 35 hours per week
Supervisor: Associate Director of the Center for Victim Safety and Support (CVSS)
Function:
The Program Administrator will ensure program adherence to legal, ethical, and practical standards and policies. The Program Administrator will perform regular audits of staff documentation, assist in quality improvement and training, facilitate reports, and monitor contract compliance.
Job Requirements:
- Bachelor’s degree in human services, data management, or related field OR 2 years of full-time compliance, quality assurance/improvement experience.
- Supervisory experience is a plus.

Job Responsibilities:
- Familiarizes self with current best practices, ethical, legal, and program standards to providing victim services.
- Analyzes internal systems to ensure compliance with program and contract policies.
- With Associate Director and Director, plays an active role in modifying, updating, and implementing CVSS policies pertaining to documentation, data collection, and reporting.
- With Associate Director and Director, plays an active role in preparing for, compiling, analyzing, and reviewing CVSS documentation and reporting.
- Designs ongoing training programs to troubleshoot trends and promote consistency and efficiency within CVSS documentation procedures.
- Prepares and designs reports in Apricot database to ensure accuracy and integrity in reporting mechanisms.
- Performs data entry into various software programs and databases, compiles statistics and trend data regarding clients with accuracy and speed.
- Responsible for database (Apricot) updates, modifying forms, adding new users, administrative functions, and other back-end database functions.
- Responsible for developing and maintaining database (Apricot) manual for staff and administrators.
- Completes all tasks, as assigned, on a timely basis. This includes, but is not limited to, documenting all activities, preparing, and assisting staff in completing weekly and monthly activity reports.

- Strong computer skills including working knowledge of an email package and working knowledge of MS software programs: Word, Excel, and Outlook.
- Knowledge of record management systems a plus.
- Ability to work with and understand multiple contracts and ensure programmatic compliance in reporting.
Work Environment – Family Services Inc. Center for Victim Safety and Support is a 24-hour crisis center and has open office hours Monday through Friday, 9a-5p. The Program Administrator will spend most of their time interacting with the Apricot database, assessing compliance, and providing training and feedback to staff, and working on a team at the Center for Victim Safety and Support.
