At a Glance! The Registration Program Specialist 2 is responsible for processing related to LCC courses, transfer course evaluation, and degree requirements with a focus on serving LCC baccalaureate degree students. The Program Specialist evaluates and awards transfer credit, verifies student degree progress, awards degrees, and coordinates other Registration processes related to current and incoming students pursuing a bachelor's degree from LCC. The Program Specialist also provides course, degree, and policy information to advisors and staff across campus while ensuring academic policies are observed consistently and timelines for admission and graduation are met.

About the Team: The Registration Team consists of 6 full-timestaff who share the same passion for student success. Along with the rest of the Registration Team, the Program Specialist ensures students receive high-quality service through collaborative efforts across the Student Services division and the campus while building a welcoming and inclusive community for LCC's diverse student population.
The Program Specialist position is 40 hrs/week and the typical schedule is Monday through Friday, 8 am to 5 pm. There is some flexibility to work remotely as department needs permit. The Program Specialist reports to the Assistant Director of Registration.

Examples of Duties & Responsibilities
  • In collaboration with the other members of the Registration credential evaluation team, evaluate and award credit for transferable coursework from other institutions, communicate results to students, and maintain accurate records.
  • Interpret and apply NWCCU accreditation standards, Intercollegiate Relations Commission guidelines, Washington State rules, best practices for evaluating international transcripts, and LCC academic policies regarding transfer credit, alternative credit, and degree requirements.
  • Determine accreditation of previously attended institutions, interpret grades awarded on a variety of grading scales, and maintain transfer course equivalency tables and transcript.
  • Collect, organize and track selective admission applications, perform program-specific transcript evaluation processes, and route to appropriate departments.
  • Build ctcLink academic and biographical records for previous students from archived records, and maintain historical course translation tables.
  • Create and maintain ctcLink Academic Advisement Reports to accurately reflect LCC's bachelor's degree graduation requirements set forth in the Academic Catalog.
  • In collaboration with the other members of the Registration degree audit team, manage the student graduation application process. Determine graduation requirements met by LCC coursework, transfer courses, and other nontraditional means. Maintain records relating to graduation for each quarter, including graduation applications, commencement eligibility, and the awarding of degrees, certificates, and high school diplomas.
  • Award degrees accurately after evaluating and verifying program completion requirements based on established college policies and procedures.
  • Identify students not on track to graduate and support them in identifying options for timely degree completion including determining eligibility for transfer reciprocity, ACPL, or an Academic Standards Committee petition, and provide guidance to students pursuing alternative credit options.
  • Coordinate outreach to students, faculty, and Student Services staff about the graduation application and review process. Create and maintain systems and processes to ensure deadlines regarding transcript evaluation and graduation processing are met.
  • Represent the Registration Department and provide insight and historical context to support the Academic Standards Committee petition review process, and serve on the Commencement, Curriculum, and other campus committees as appropriate.
  • Coordinate with the Washington and Oregon Departments of Health to ensure official records for nursing students are processed correctly.
  • Create and maintain procedures manuals pertaining to transcript evaluation, graduation evaluation, degree awarding, Academic Advisement Report maintenance, and Academic Credit for Prior Learning.
  • Provide superior customer service and student support by explaining policies and procedures to students, faculty, staff, and the community through all channels of communication, including face-to-face, group, phone, and email.
  • In support of the basic operations of the department, assist with registering students, answering phones and emails, providing information to the public and to LCC staff and faculty regarding services, policies, dates and deadlines and quarterly class schedule information.
  • Participate in and integrate learning from professional development opportunities and statewide community activities and listservs regarding credential evaluation, degree auditing, and other relevant issues.
  • Consistently apply logic, critical thinking, and a thorough understanding of academic policy, policy interpretation, historical decisions, procedures, and program requirements.
  • Provide accurate guidance and training to students, staff, and faculty relevant to course transferability, graduation requirements, course credit, alternative credit, ctcLink academic advising tools, and LCC policies and processes.
  • Comply with strict confidentiality requirements in accordance with institutional policies and state and federal regulations.

Typical Qualifications
Minimum Qualifications
  • Associate degree OR equivalent combination of education and experience
  • Two years of experience working in higher education or similar office setting
  • Demonstrated competency using computers and office technology systems
  • Excellent oral and written communication skills
  • Strong attention to detail
  • Excellent organizational and problem-solving skills

Preferred Qualifications
  • Bachelor's degree in related field
  • Experience working in higher education performing transcript evaluation, degree audits, maintaining academic requirements, or related duties
  • Advanced knowledge of Microsoft Office, Google Suite, document imaging software, ctcLink/PeopleSoft, or other enterprise resource software
  • Demonstrated ability to prioritize work with limited supervision and meet strict deadlines while maintaining a high degree of accuracy
