- Create and improve procedures and policies for overall office management and daily execution; update and distribute a NYC Operations Manual so that it is up to date and seen as a useful tool for the team.
- Orient new hires to office procedures and coordinate with hiring manager to set up workstations and other key logistics.
- Support logistical and technological needs for new staff hires and other transitions.
- Maintain office equipment needs, supplies and space for the NYC offices, including liaising with building management, vendors.
- Coordinate operational needs around staff training, team meetings, and other collaborative spaces that may require logistical support and/or catering.
- Develop internal resources and systems to help a regional NYC team of 35+ members, manage space and operational needs.
- Work closely with the finance department to ensure timely and accurate reporting of expenses.
- Monitor and reconcile credit card expenses to ensure accuracy, compliance with organizational policies and the site approved budget.
- Undertake other duties as assigned or required to support the smooth operation of the office and contribute to the achievement of organizational goals.
- Collaborate with the Sr Program Operations Coordinator and ensure that all programmatic requests are fulfilled and supported.
- Oversee operational needs that underpin our program delivery to students and families in NYC including vendor management, student travel, and event logistics, working in close partnership with our program management team.
- Support with the program needs of our stakeholders and program partnerships, in collaboration with the Regional Program Director.
- Support with management of logistics for board meetings. Specific responsibilities include venue set up, coordination of catering, and notetaking at the quarterly board meetings (as needed), and other printed materials.
- Make periodic updates to the NYC social media accounts and sections of Summer Search's website, including staff bios and photos, board lists, etc., to ensure alignment with Summer Search’s marketing strategies and goals.
- Support NYC fundraising initiatives and events with logistics and materials prep.
- Deposit donor gifts, scan and upload backup to the Development Gift Backup Library and in the Development NY Channel on teams in a timely manner; work with the NYC development team and the national development operations team to support with additional needs that arise.
- Work closely with program, development and alumni leadership to coordinate volunteer requests for events and workshops for our students, alums, and donors.
- Manage the volunteer background check process and communicate to both staff and volunteers when volunteers have cleared.
- Create and build protocols and training guides for volunteer engagement.
- Create draft outreach, day of and post event correspondence with all volunteers and execute communication plan for each volunteer activity.
- EXPERIENCE: A minimum of three years' professional experience in an office setting

Competitive and transparent salaries. This is an exempt position with an annual salary ranging from $68,817-$73,809. Summer Search is committed to transparent, equitable compensation practices. Salaries are benchmarked using current market data and salary bands are created to demonstrate the growth potential within the band. Typically, offers are made at the starting place of the salary band. The Hiring Manager partners with the Talent Team to ensure offers are appropriate, competitive and maintain internal equity.
