Department Information
The Colorado State University Pueblo Registrar's Office links the institution with our past, present, and future students. This office is responsible for maintaining official student academic records of the University. In addition, the Registrar's Office provides a myriad of academic support services such as: academic record safekeeping; FERPA compliance; course registration; grade collection and processing; processing individual student course withdrawals; course and room scheduling; transcript delivery; transfer evaluation; degree audits; graduation tracking and clearance; enrollment and degree verifications; academic calendar planning; catalog publication; academic policy enforcement; and, construction of the course and final exam schedules. Finally, the Registrar's Office ensures compliance with extant local, state, and federal laws, rules, and regulations. The Registrar's Office provides the best possible customer service to meet the needs of the University community.
Description of Job
The Record and Data Management Coordinator provides administrative support to the Registrar's Office and supports the University Student Information System (SIS), Ellucian Banner. These tasks are complex in nature and require consistency and accuracy to enter and maintain data. The Record and Data Management Coordinator provides Banner training to students and faculty regarding student registration and updates the website as needed. This position is responsible for researching and monitoring duplicate student Records and coordinating with various departments to assist in the process of resolving duplicates
Primary Duties
Record and Data Management
  • Manage day-to-day duplicate records identified. Includes maintenance which requires research, coordination, and manual processing with CSU Pueblo and CSU Fort Collins. Contact and coordinate with departments accordingly and manually merge data to the correct record.
  • Process SIS codes for campus constituents, including courses, holds, time tickets, withdrawals, attributes, etc.
  • Assist with SIS data clean up
  • Assist with maintenance of National Student Clearinghouse reporting, including researching of data.
  • Oversee Registrar's Office technology access, including but not limited to adding, changing, or removing permissions.
  • Assist with the processing of Registrar's Office forms
Registration and Curriculum Support
  • Oversee the course sections inbox and create, cancel, and update course sections. Coordinate with departments to provide support.
  • Assist in creating and running reports to ensure accuracy of SIS data. Notify students, faculty, and staff of the results.
  • Assist the Associate Registrar with development and maintenance of the CourseLeaf Curriculum Management system.
Training and customer service
  • Create and edit internal and external Registrar's Office system user guides and training modules.
  • Provide periodic training on a one-on-one, group, and presentation basis to students, faculty, and staff.
  • Monitor and update Registrar's Office website to ensure accuracy.
  • Contribute to additional functions within the Registrar's Office, including in-person customer service for students, faculty, and staff.
Ancillary Duties:
Provide general Registrar's Office support, serve on internal and external committees, and attend University events.

$42,000-$50,000

Minimum Qualifications
  • Bachelor's degree from a regionally accredited university or international equivalent
  • Demonstrated excellent written communication skills
  • Minimum one year of experience in an office setting
  • Experience in a position or activity that required excellent oral communication skills
  • Experience in a position or activity that required attention to detail and/or auditing experience.
  • One year of experience using computer information systems
Preferred Qualifications
  • Successful completion of coursework in business, computer information systems, management, or similar programs.
  • Experience working with faculty and students.
  • Experience with CourseLeaf CAT & CIM, and/or website design.
  • Previous experience working with SIS systems (preferably Banner and related systems such as BCM & BDM).
