We are seeking a detail-oriented and organized individual to join our team as a Receptionist / Office Manager. In this role, you will be the first point of contact for our clients and play a vital role in the daily operations of our real estate office.
Key Responsibilities:
- Call Management:
- Answer all incoming calls and direct them to the appropriate department.
- Document calls related to properties on the “Sales Call Log”.
- Email Correspondence:
- Regularly check and respond to emails throughout the day.
- Mail and Package Handling:
- Collect and distribute mail and packages to the correct offices and PO Boxes.
- Notify tenants about received packages for pick-up or office placement.
- Special handling of mail including scanning and emailing, and processing specific mail handling.
- Rent Checks Processing:
- Issue receipts for rent checks.
- Copy, stamp, and log rent checks into QuickBooks.
- Coordinate with Accounting office for check filing and post-deposit procedures including matching check receipts and organizing digital records in OneDrive.
- Billing and Accounting Support (15th – 16th each month):
- Update Monthly Billing Spreadsheet, including changes in services, reservations, and printer logs.
- Mail Collection and Processing:
- Retrieve mail from P.O. Box, including checks marked “PO Box”.
- Check and process mail from the outside Dropbox, ensuring proper date stamping.
- Assist with New Tenants:
- Establish both physical and electronic files for new tenants.
- Set up new tenants in the Brivo access system.
- Issue necessary items to Smyth Tenants, including KeyFobs, Mailbox Keys, and Suite Keys, and educate them about the Change of Service Form.
- Assist with Existing Tenants:
- Create and send invoices.
- Process payments.
- Manage key fob activations and updates in the Brivo system.
- Deliver Key Fobs to tenants.
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
Expected hours: 40 per week
