Job description

Altrad Sparrows Group have a requirement for a Receptionist/Office Assistant to join the team in Sulphur, LA on a permanent basis. The main purpose of the role will be to provide support in functional areas of the Human Resources Department.

Main responsibilities

  • Open switchboard for business hours
  • Greet visitors and notify employees that their guest(s) have arrived
  • Provide assistance for incoming calls requiring additional information
  • Receive, sort, distribute and mail correspondence, invoices, packages, etc.
  • Provide clerical support for the office staff, i.e., typing, filing, etc.
  • Receive and distribute fax transmissions
  • Order/Distribute business cards, office supplies, uniforms, etc.
  • Maintain phone contact listing for branch
  • Maintain security codes
  • Assist with Lease Plan Program
  • Conducts employee pre-hire screening and preliminary paperwork.
  • Gather all payroll documents for payroll processing
  • Create and maintains Training Matrix
  • Assist and support HR initiatives
  • Processes paperwork and updates systems for functional area according to established procedures.
  • Assist HR with special projects, reports, presentations etc. as required
  • Know and understand Sparrows Offshore' Quality Policy and comply with all requirements of the Quality Systems manual, Operating and Technical Procedures and Workplace instructions.
  • Understand and comply with all the Safety and Environmental requirements.
  • Schedule internal and external trainings and update internal tracking documents and systems
  • File and establish record keeping procedures
  • Schedule, coordinate or pick up requirements for company events
  • Assemble, prepare and analyze reports for various departments
  • Provide admin support to HR, Finance, and Operations
  • Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities
  • Organize and schedule meetings and appointments
  • Partner with HR to maintain office procedures and policies
  • Coordinate with IT dept. on office equipment as needed
  • Contributes to team efforts by accomplishing all task and other assigned duties as needed
  • Perform all duties as required by Supervisor within the physical constraints of the job.

Qualifications & Experience:

  • Basic computer knowledge including Word, PowerPoint and Excel programs.
  • Ability to adhere to deadlines and take directions
  • Good Communication skills - both oral and written
  • Positive interpersonal skills
  • Customer service orientated
  • Telephone skills and professional phone, dress and grooming etiquette
  • Ability to multitask and switch gears to meet business demands
  • Able to succeed in a fast-paced work environment
