Summary of Responsibility:

The receptionist will answer the telephone, greet visitors in a pleasant and professional manner, and complete other clerical and administrative work as assigned.

Essential Duties:
  • Greets visitors at the community's front reception desk in a pleasant and professional manner. Triage incoming calls and ensure questions and needs are directed to the appropriate person.
  • Serve as community ambassador to visitors; answer general questions from potential residents and inquiring families and provide informational brochures and packets as requested.
  • Assists Executive Director with new hire orientation; creates name tags for new team members and distribute onboarding welcome gifts. Prepare new hire folders and scan documents and upload them to the shared drive.
  • Create and maintain team member personnel files in the community.
  • Assists with new resident paperwork and helps ensure that documents are processed and submitted timely.
  • Long Term Care (LTC) Insurance – collect information from family, notify LTC insurance company, coordinate paperwork with WD and ED, and submit timely. Fax supporting documentation to LTC provider, as needed.
  • Perform administrative and clerical support tasks for the community, including updating resident rosters and distributing mail.
Education, Experience, Age Requirement:
  • High school diploma or GED equivalent
  • One year of office experience
  • Hospitality orientated with excellent communication and customer service skills
  • Professional appearance and demeanor.
  • Must be able to multi-task and prioritize multiple tasks simultaneously.
  • Proficiency with computer software, applications, and basic typing skills.
  • Flexibility with schedule including availability to work evenings, weekends, and holidays
  • Must enjoy working with the senior population.
  • First Aid/CPR certification is preferred.
  • Approved criminal background check, physical, drug screen, and TB skin test required.
