About the Role:
The Reception Position provides support to our Fremont office through greeting guests, routing calls and doing other tasks while working in the receptionist area. The receptionist must be professional in demeanor and attitude as well as being able to maintain a sense of calm when under stress. Attention to detail is a must while handling multiple priorities as well as being able to quickly reprioritize based on the changing environment. Excellent written and oral communication is of the utmost importance.
What You'll Do:
- Ensures that all guests/visitors have appropriate badge/lanyards for entrance into building by following stringent badge/security protocols, plus ordering badge and mail machine supplies.
- Sign out visitors and collect their badges.
- Schedules conference rooms and handles incoming catering instructions.
- Quickly and efficiently processes reception requests, emails and incoming faxes ensuring daily completion.
- Ongoing updates monthly of lobby signage, and daily logs.
- Keeps reception area, lobby conference room, and mailroom clean, organized and labeled for employee functionality.
- Operates multi-line phone system. Familiarizes self with current key executives and staff to assist with properly routing calls.
- Receives, sorts, and distributes incoming mail. Logs incoming packages and notifies recipients for pick-up.
- Upkeep and operates mail machine.
- Confirms with Executive Assistant to CEO where to route mail for Board of Directors
- Work on other special projects as assigned.
What We're Looking For:
- High School diploma, GED, or equivalent.
- Minimum of 1 year of related office administration experience.
- Ability to consistently work in a standard office setting, including continuous sitting, standing, phone use, and keyboarding.
- Ability to provide a basic level of administrative assistance.
- Ability to provide a professional presence and represent the Company as the first point of contact.
- Commitment, proactive, takes initiative/ownership; punctual; excellent attendance.
- Dependable and punctual. Must be able to handle sensitive and confidential information.
- Ability to handle difficult people; consistently courteous and efficient customer service orientation.
- Demonstrated good verbal and written communication skills. Detail and numbers oriented.
- Ability to handle multiple tasks and projects; multitasking; work well under pressure in a fast-paced environment; flexible
- Ability to work a standard business day, typically, 8am to 5:30pm.
- Must be able to work with minimal supervision
- Must be organized, able to make good judgment calls and be proactive
- Ability to develop and maintain working relationships with various levels of management. Maintain a professional ambiance in lobby environment
- Demonstrated familiarity with MS Office Applications, particularly Outlook, Excel and PowerPoint
