Responsible for handling front office reception and administration duties, including greeting guests, providing visitors with direction to their loved ones and friends. Answer phones professionally and courteously.
Primary Responsibilities
Answer phones professionally and within 3 rings. Follow HIPPA guidelines. Route calls to specific people efficiently and accurately Answer inquiries about company accurately. Do not guess.
Greet visitors warmly
Provide only room numbers
Ensure reception area is tidy
Coordinate mail flow in and out of office efficiently and accurately.
Hand out employment applications
Give visitor badges (when available) and assure they sign in
Send email and faxes. Always obtain confirmation on Faxes
Collect and distribute parcels and other mail (when applicable)
Perform clerical duties and filing (May at times include running MediCal eligibilities)
Take and relay messages accurately and promptly
Make sure all copiers are filled throughout the day. If working Evening Shift also refill before leaving for the day
Assist with ordering supplies (when applicable)
Assist with mail/applying postage (when applicable)
Receipt payments received, copy checks and place in cashbox immediately.
Assist with running copies from other departments (when applicable)
Complete any tasks provided by department heads timely and when requested.
Telephone etiquette procedures will be provided.
