JOB SUMMARY:
Manage the day-to-day DME front office operations and serve as a liaison between the clinical team, provider, outside facilities, and the patient.
The basic function of the DME Department receptionist is to efficiently process all patient office visits while providing exceptional customer service.
- *QUALIFICATIONS AND EDUCATION:
Education:
- High school diploma or its equivalent required.
Qualifications:
- Basic knowledge and understanding of medical and billing procedures, as well as a basic understanding of CPT/ICD10 codes is preferred.
- Basic clinical knowledge and understanding of medical terminology and anatomy is preferred.
- Proficient computer skills, including Microsoft Office, and skills utilizing basic office equipment.
- Must be detail oriented, have excellent organizational and prioritizing skills and able to meet competing deadlines.
- Must have excellent professional communication skills, both written and verbal, to ensure communication is accurate.
- Must be able to demonstrate flexibility by adapting to new and changing duties to meet patient needs effectively with efficiency.
- Must be personable and friendly at all times.
- Must be able to work as a team member and assist co-workers.

- *ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Greets patients/visitors in a professional, courteous and helpful manner.
- Verifies patient demographic information and updates computer system.
- Call or fax with PCP offices to obtain supporting documentation for outside orders.
- Schedules patients according to designated workflow.
- Call patients to inform them of their estimated out of pocket responsibility for the DME item(s) and makes arrangements to collect any balances due at time of delivery.
- Processes DME Hospital Orders
- Manages queues for DME Orders, Estimates and Precerts.
- Participate in quarterly staff meetings outside of normal scheduled business hours.
- Fax or email information to outside vendors following HIPAA guidelines.
- Registers patients for visit.
- Answers telephones promptly, identifies self and directs calls as appropriate.
- Maintains a positive and professional attitude towards patients, co-workers and physicians.
- Keeps work area orderly and neat.
- Handles difficult situations tactfully.
- Posts charges, cases, referrals and any additional pertinent information.
- Issues work and/or school notes.
- Schedules appointments internally and for external referring offices.
- In addition to the duties listed above, performs the following:
- Review physician documentation to verify medical necessity has been met.
- Assists with Precertifications.
- Other duties as assigned.
SUPERVISORY RESPONSIBILITIES:
No direct reports.
LANGUAGE SKILLS:
Must be proficient in the English language, both verbally and written, to communicate effectively with patients, co-workers, physicians, vendors, and the general public.
PHYSICAL DEMANDS:
Prolonged sitting. Light physical effort; some standing, walking, bending, reaching, stooping; manual dexterity to operate keyboard and other equipment; detail oriented; able to maintain a pleasant and courteous demeanor under all circumstances.
