Position Purpose:
Provide professional receptionist and secretarial support to the organization. Operate switchboard and greet all visitors, coordinate express mail/UPS pick-ups and deliveries, and provide secretarial/clerical support as necessary. Functions as a team member within the department and organization, as required, and perform any duty assigned to best serve the company.
Responsibilities may include, but not limited to:
- Professionally greets all guests and visitors on the telephone and in person.
- Request visitors to sign in and issue visitors' badges. Tracks and manages the visitor badges
- Use computer to direct calls to appropriate department / person
- Email associates with daily internal newsletter and department staffing
- Assist Beverage and Chemical department with service calls, service logs, invoicing, and equipment database
- Scanning of invoices, receipts, and purchase orders
- Check orders throughout the day for potential issues
- Key and edit orders in FoodStar system
- Monthly mailings
- May maintain company phone directory
- Assists other departments as needed
- Performs other related duties as assigned
Required Qualifications
- Interacts well with people and demonstrates professional communication skills
- Office 365 knowledge, emphasis in Excel
- Efficient, organized methods of working
- Proven ability to maintain confidentiality
- Ability to handle many different tasks simultaneously in a professional manner
- Professional attitude and appearance
- Excellent work habits (good attendance, sense of urgency, results oriented, respects company policy)
- 6+ months experience working with the general public and/or office staff
- High school diploma/Equivalent
Preferred Qualifications
High School Diploma/GED or Equivalent Experience
1 - 2 Years Receptionist in an office environment
