Job Description
- 1st shift (8:00AM – 5:00PM)
- Starting at $18- $20 hr. DOE
- Contract to Hire Positions
- Perform a broad range of administrative and clerical functions of a confidential or specialized nature on a regular basis. Prepare, compose, and initiate accurate and timely correspondence, memoranda, presentation material and reports.
- Coordinate resources and obtain information for special projects and assignments.
- Coordinate and schedule meetings, conferences, and appointments. Coordinate and maintain department calendar. Answer routine telephone calls, providing information to callers, including senior management and key external sources.
- Manage information; organize and maintain paper and electronic files, ensuring files are updated and maintained on a weekly basis. File paperwork and maintain filing system.
- Process incoming and outgoing correspondence for postal mail and email. • Coordinate and/or facilitate travel arrangements. Process and/or prepare expenses reports for senior management.
- Perform various special projects as needed.
- Maintain a high level of professionalism and confidentiality.
- Participate in the development of a safe and healthy workplace. Comply with instructions given for their own safety and health and that of others, in adhering to safe work procedures. Co-operate with management in its fulfilment of its legislative obligations.

- Greet and welcome Vendors , clients and colleague in a friendly and professional manner
- Answer phone calls, schedule appointments, and manage client inquiries
- Maintain vendor records and update necessary information in the computer system
- Assist with billing and coding tasks using QuickBooks software
- Manage the front desk area, including keeping it clean and organized
- Handle incoming and outgoing mail, as well as other administrative tasks
- Assist with proofreading documents and maintaining accurate files
- Assist with ordering and coordinating company sponsored luncheons / events within office and warehouse staffs.

- Proficient in computerized systems, including scheduling software and electronic invoicing systems
- Strong customer service skills with the ability to handle difficult situations with professionalism and empathy
- Familiarity with QuickBooks for billing and coding tasks is a plus
- Excellent phone etiquette and communication skills
- Attention to detail for proofreading documents and maintaining accurate records
- Ability to handle multiple tasks simultaneously in a fast-paced environment.
- Must be flexible, able to balance multiple tasks and changing priorities, and possess exceptional interpersonal skills. Ability to display a strong sense of urgency and good judgment.
