Essential Duties and Responsibilities
- Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately.
- Follow security procedures, such as monitoring the logbook and issuing visitor badges.
- Organize the reception area while complying with office procedures, rules, and regulations.
- Regularly participate in continuous quality improvement activities, including, but not limited to attending team meetings, keeping management apprised of any safety or product quality concerns, and staying compliant with policies and procedures in accordance with the Quality Manual.
- Use personal protective equipment, including but not limited to masks, gloves, and ear plugs when indicated.
- Able to answer incoming callers, determine purpose of call and forward to appropriate personnel.
- Communicate information to callers and accurately record messages with correct names and phone numbers. Assure messages are delivered in a timely fashion.
- Operate copiers/scanners and fax machines and assist users with operation and troubleshooting.
- Send ongoing faxes and retrieve and route incoming faxes.
- Scan quality records and electronically file them into the appropriate location on the Server.
- Perform other clerical duties as needed, such as filing, photocopying, and collating.
- Welcome visitors, determine nature of business, and announce visitors to appropriate personnel. Monitor visitors access and assure they sign in and are given a badge as needed.
- Receiving and sorting daily mail.
- Maintain visitor, employee, and department directories and logs.
- Patience and listening skills to respond appropriate and interact positively with upset customers.
- Interpersonal skills to create a pleasant experience for all customers, such as being personable and attentive.
- High level of professionalism and courtesy
- Works well with others and can multitask
- Proficient in Microsoft Office software

Language Skills
English is the primary language; ability to communicate effectively in English. Ability to read and distribute general business and professional correspondence. Ability to effectively present information verbally and respond to questions from groups of managers, clients, customers, and the general public.
Mathematical Skills
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Reasoning Ability
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, and flow charts.
Physical Demands
While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or otherwise feel an object; reach with hands and arms; talk; and hear. The employee frequently is required to stand, walk, and sit. The employee is required to be able to detect odors to help ensure a safe working environment. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
Work Environment
While performing the duties of this job, the employee is rarely exposed to fumes or airborne particles. The noise level in the work environment is usually low to moderate.
