Overview:
Trinity Schools' Open Arms of Fort Pierce is seeking a passionate, dedicated, reliable and organized Receptionist to join our team. As a Lutheran school, we are committed to providing a Christ-centered education that nurtures the whole child – academically, spiritually, and emotionally.
Objective:
Effective management and establishment of friendly, open, welcoming Christian environment at the entrance to Trinity Lutheran Schools (Trinity Open Arms and Trinity Academy), which are supported missions of Trinity Lutheran Church (TLC), Fort Pierce, FL. This position is accountable to the Trinity Open Arms Director.
Job Summary:
As a receptionist, you will be the first point of contact for our company. Your main duties will include greeting and assisting visitors, answering phone calls, and providing general administrative support.
The Trinity Schools’ Receptionist serves as the first contact point for all who enter the Trinity Schools’ lobby, including faculty, staff, students, family members, and visitors.
Tasks:
1. Assigned to sit at the front desk of the Trinity Schools lobby to greet all who enter. Current hours of service requirement are 7:30 am – 4:30 pm on school days; these hours are subject to change as per school calendar or needs. Should seek to establish, in this initial greeting, a friendly-but-determined conversation with each person, to discern that person’s business in the school.
2. Oversee the sign-in / approval process and determine whether to allow the person to continue on.
3. Greet families, parents and students, in warm and professional manner, consistent with the loving, Christian atmosphere that Trinity Schools seeks to portray.
4. May seek, when conditions warrant, the assistance of the Trinity Open Arms Director or of the Trinity Academy Principal for determination of approval of certain visitors.
5. Conduct professional and personal life consistent with Christian values of Trinity Schools.
Office Duties
The Trinity Schools’ Receptionist will perform general office management duties for the front desk at Trinity Open Arms Lobby.
1. Manage front office, desk and lobby area, maintaining and operating within in a Christian, professional and organized manner, including assisting in inter- and intra-school communications.
2. Perform daily opening activities of supervising students as they come through the lobby to go to their classrooms and then getting breakfast ready for students in each classroom.
3. Perform daily closing activities of checking each classroom, ensuring all students are gone from premises and final daily safety check.
4. Manage all fax communications in a timely manner, either coming or going out from the schools.
5. Manage school Enrollment Packages, including keeping materials current and available for inquiries, changing content as necessary, for both Trinity Open Arms and Trinity Academy.
6. Manage Lobby bulletin boards, including changing boards on timely basis, determining and seeking out content as appropriate.
7. Manage content, currency and relevance in message for the school’s marquee signage.
8. Perform general filing and office duties as requested.
9. Maintain front office, School lobby and lobby restroom in clean and orderly manner.
10. Assist in special projects and tasks, as directed by the Director, Principal and/or the Trinity Schools Board.
Preferred Qualifications and Skills:
Active Church Member in good standing
Excellent computer literacy, including proficiency in Google Suite and other office software
Strong organizational skills with the ability to multitask and prioritize tasks effectively
Previous experience working in an office
Attention to detail and accuracy in data entry and clerical tasks
Strong verbal and written communication skills
Ability to maintain confidentiality of sensitive information
