The Receptionist for EBSCO Information Services is an ambassador for EBSCO and the first point of contact for customers, candidates, employees, vendors, and the community. The individual in this position manages all activities at the front desk, including greeting and directing visitors, managing the sign in/out process, answering incoming phone calls, and helping to ensure safety/compliance by following all necessary procedures.
This is an onsite, part-time role based in our Ipswich, MA office working the afternoon shift Monday-Friday from 12:30PM-5:00PM with flexibility to work mornings and full days as needed for coverage.
Primary Responsibilities
- Welcomes guests with a friendly greeting, overseeing visitor check-in/out procedures, ensuring employee accompaniment and visitor badge/lanyard provided and returned
- Cheerfully answers incoming telephone calls on a multi-line system, quickly triaging and forwarding calls to the appropriate employee or department; retrieves messages from voicemail and fax machine and forwards to appropriate personnel
- Manages Facilities invoicing approvals and expense process
- Manages security building access cards for new hire and exiting employees, vendors and contractors, including the assignment, distribution, deactivation and ensuring loaned cards are correctly assigned and returned
- Creation, analysis, and distribution of campus access reports
- Coordination of onsite meetings and events (project management), food ordering and preparation for onsite employees
- Develops and maintains documentation, including policies and procedures, FAQs, and safety/emergency information
- Perform other tasks as assigned
Your Team
You will be welcomed as a member of Facilities, a team of about 12 people, and will be working closely with your receptionist counterpart. There will be ample resources, tools, training, and support to ensure your success as a receptionist and your development and career growth at EIS.
About You
- 2+ years’ equivalent experience
- 1+ years’ experience in a role managing multiple phone lines and greeting visitors
- 1+ years’ experience with Microsoft Outlook, Word and Excel
