Real Estate Office Administrative Assistant:
Job Responsibilities:
- Handle all company Real Estate referrals through multiple platforms: on-the-job training for this will be provided and extensive online training will be required
- Exhibit excellent communication skills both verbally and in writing with the ability to employ tact and diplomacy as needed: will be regularly communicating with other Real Estate referral coordinators across the globe
- Demonstrate above average ability to organize, prioritize, provide consistent & timely follow-up for multitude of tasks
- Ability to oversee/engage in ongoing annual, semiannual & recurring tasks without oversight
- Takes initiative but also asks questions when assistance is needed
- Create multiple forms of Print and On-Line Advertising: work with outside advertising vendors to create and proof advertising for the company
- Co-manage company social media accounts
- Assist with inventory management
- Scheduling/Maintaining office calendars
- Provides support/coverage for Office Manager and Administrative Team

- Interact well with customers, Real Estate agents, co-workers and others
- Team player mentality: willing to cover for coworkers when needed, assist with tasks even if not directly assigned, willingness to learn and complete tasks across all administrative positions
- Properly manage incoming phone calls
- Coordinate with listing agents on property photos, needed property repairs, signage, lockbox access requirements & marketing activities as needed
- Coordinate with vendors on behalf of the company
- Demonstrate/develop ability to input all listing information into MLS and marketing websites and complete updates as needed.
- Run office errands as needed
- Greet customers and guests in the office as needed
- Demonstrate proficiency in Microsoft Word, Excel, Power Point and other computer programs with the ability to learn new software and programs as well
- Other office tasks as directed by supervisors.
Required Work Experience:
- Must have worked in a professional office / minimum 3+ years office experience.
- Real Estate Experience preferred but not required
- Above average technology skills are a plus
