Job description

Summary

The primary objective of this position is to ensure that all administrative needs for the corporate Quality Assurance department are met and to be able to provide customer service in the form of correct and proper documentation for our sales staff and customers. This position will be responsible for providing administrative assistance to the Director of QA, Regulatory and Food Safety, as well as the QA Supervisor and QA Manager.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Enter COA data into in ERP system to clear finished products for shipment to customers
  • Set up, edit and maintain customer item specifications
  • Modify and post controlled documents
  • Maintain current product and facility documentation, communicate updates to Sales & Customer Service
  • Analyze and fulfill customer documentation requests or forward the inquiry to the appropriate department as needed
  • Initiate, maintain and review supplier documents to support plant certifications (GFSI, Kosher, Halal, Non-GMO and Organic).

  • Knowledge and basic understanding of customer service, business, and operations concepts and how to apply those concepts in day-to-day involvement with sales, customers, and manufacturing facilities.
  • Interpersonal communication skills are needed for being adaptable and flexible in dealing with a variety of priorities and people while prioritizing assignments to meet required deadlines.
  • Stability and personal maturity are important attributes in this position. It is mandatory to maintain confidentiality of information.
  • Good organizational skills with ability to efficiently follow through on work assignments independently.
  • Is self-motivated and can accomplish assigned tasks without the need of continuous supervision.

  • Moderate understanding of science concepts as related to microbiology and chemistry.

Education and/or Experience                                                   

Bachelor of Science degree preferred with a food science background and/or 2 years minimum of experience in similar positions required.

Language Skills                                                

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Must have the ability to effectively present information and respond to questions from managers, clients, customers, and the general public.

Mathematical Skills                                                     

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability                                             

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills

To perform this job successfully, an individual should have knowledge of Microsoft Office (including Word, Excel, Outlook and Teams). Requires developed office skills, computer experience and competence in using current office software. Advanced word processing, spreadsheet and database skills are required, along with the ability to utilize multiple online systems for documentation management. Knowledge of ERP software is desired.
