Compensation: $55K to $65K

Job Summary

Liaison between vendors, buyers, logistics and internal customers. Responsible of following up with vendors the status of the purchase orders. Responsible of forwarding information coming from requisitions pertaining to delivery instructions and mode of transportation with the different shipping carriers or freight forwarders (FedEx, UPS, truckers, etc.). Work with the Logistics Department regarding current set ups. Monitor delivery of ordered goods and materials, communicating, updating, and documenting status of the shipments and any supply problems which may pose a risk or impact on business operations. Contact suppliers to resolve overdue deliveries and update internal customers on status.

Essential Duties & Responsibilities

  • Review current open orders to assure purchases are shipped in a timely matter. Contact requester immediately to reconcile any anomalies. Updates the ERP system with new due date and document all the communication available for each PO.
  • Monitor and review with vendors and internal customers status of open Purchase Orders to ensure they are received/closed in a timely matter in the ERP system.
  • Maintain regular communication and continuous nurturing of relationships with key suppliers.
  • Obtain information pertaining weight and dimensions from suppliers for Exworks, Consolidated, and LTL freights while facilitating those details to the Logistics Department for transportation purposes.
  • Communicating with the supplier regarding the arrangements for transportation (domestic or international) pick ups and timing
  • Assure the supplier provides adequate order confirmation. Reconcile any differences between Purchase Order and confirmation. Communicate issues or discrepancies to Buyers to update PO with correct cost, quantities and specifications as warranted.
  • Maintain regular contact with the supplier to assure on time delivery. Update due dates and promise dates in the ERP system accordingly. Inform requesters of order status.
  • Review receiving reports daily for issues related with POs
  • Proactive with assisting in solving discrepancies and offering solutions for issues that may arise with purchase orders.
  • Strong organizational skills
  • Ability to ease conflict and resolve issues

Requirements:

Required Knowledge, Skills, and Abilities

  • Experience with overseeing multiple vendors, including vendor selection and management desired.
  • Impeccable customer service skills.
  • Remain highly detailed at all times
  • Must have good time management skills and be able to multitask.
  • Must be able to maintain a high level of confidentiality.
  • Must read, write, and understand advanced English.
  • Must be authorized to work in the USA.
  • Ability to reach, stoop, bend, and lift to 20 lbs.
  • Candidates must be reliable, responsible, and punctual, with a positive attitude and work well independently and with a team

Education and Experience Requirements

  • Minimum of 2 year’s relevant experience working in an order fulfillment, supply chain or purchasing role.
  • Requires high proficiency in MS Excel and ERP platforms (Infor, Oracle, SAP, etc.)
  • Excellent verbal and written communication skills

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopies, filing cabinets, printers and scanners.
  • While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
