Job Title: Purchasing Clerk

Department: Administrative

Supervisor: Purchasing Coordinator

FLSA Status: Non-Exempt

Summary

The Purchasing Clerk will perform administrative and clerical duties for the purchasing department. Assist the Purchasing Coordinator with all purchasing orders for each department.

Essential Duties and Responsibilities
  • Provides administrative and clerical support to the department.
  • Types reports, purchase orders, memoranda, and other documents.
  • Research vendors and collects prices, specifications, and other data related to goods and services.
  • Establishes and maintains recordkeeping system for purchasing department.
  • Performs other duties as assigned.
  • Prepares purchase orders by verifying specifications and price; obtaining recommendations from suppliers for substitute items; obtaining approval from requisitioning department.
  • Obtains purchased items by forwarding orders to suppliers; monitoring and expediting orders.
  • Keeps information accessible by sorting and filing documents.
  • Provides purchasing planning and control information by collecting, analyzing, and summarizing data and trends.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and Experience

Minimum GED or High School Diploma

Preferred: 30 hours of higher education in a finance field and/or 1 year of paid or unpaid experience working in an office environment

If have BA, from an accredited college or university.

Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Strong communication skills, are important. Bilingual is required (English/Spanish).

Mathematical Skills

Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills

To perform this job successfully, an individual should have knowledge of Microsoft Office and Excel.

Certificates, Licenses, Registrations

Valid Texas Driver's License.

Have a record of tuberculosis screening showing the employee is free of contagious TB.
