POSITION SUMMARY:

The job of PSP to theAssistant Superintendent for Student Services is done for the purpose(s) of providing a wide variety of complex and confidential secretarial and administrative support; communicating information on behalf of and acting as a liaison for the Assistant Superintendent for Student Services to/with school and district staff, other school districts, special education cooperative districts, alternative schools, the Illinois State Board of Education, auditors, public agencies, etc.

QUALIFICATION - EXPERIENCE - KNOWLEDGE:

  • High School diploma is required and an Associate’s Degree is preferred
  • A minimum of three years of previous office experience
  • Excellent computer abilities with Google Applications and other business related software products
  • Experience working with copiers, fax machines and other office equipment

ESSENTIAL FUNCTIONS:

  • Maintains a high level of ethical behavior and confidentiality when dealing with student and staff information for the purpose of ensuring compliance with district, state, and federal regulations
  • Responds to a wide variety of inquiries from internal and external parties (e.g. staff, parents, public agencies, other schools, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction
  • Compiles data from a wide variety of sources (e.g. IEPs, FACTS forms, calendars, expenditures/budget, Internet research, etc.) for the purpose of preparing reports, filing reports with the Illinois Board of Education, making recommendations, and/or preparing information for assigned administrator
  • Coordinates and schedules a wide variety of projects, functions and/or programs components (e.g. meetings, in-service events, etc.) for the purpose of completing activities and/or delivering services in a timely fashion
  • Maintains a wide variety of manual and electronic documents, files and records (e.g. student information, student records, employee records, reports, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements
  • Prepares a wide variety of reports, documents, and correspondences of a confidential and non-confidential nature (e.g. letters, memorandums, periodic and ad-hoc reports) for the purpose of documenting activities, providing written reference, and/or conveying information
  • Processes a wide variety of documents and materials (e.g. IEPs, student data, work orders, requisitions, travel reimbursements, budget information, etc.) for the purpose of disseminating information in compliance with administrative guidelines and/or regulatory requirements
  • Researches a variety of topics (e.g. current practices, policies, education codes, grants, etc.) for the purpose of providing information and/or recommendations that address a variety of administrative requirements
  • Manages student data and creation of student files through Infinite Campus and other database systems to ensure accuracy in reporting and information for Student testing accommodations in compliance with IEPs
  • Coordinates transportation services (as a backup) for special education students, homeless students and all other special transportation requests for the purpose of supporting students’ needs
  • Coordinates students’ services, transfer of records, and student placement information for Students attending the special education cooperative, vocational programs, and alternative schools

PERFORMANCE EXPECTATIONS:

  • Organizes and maintains a wide variety of student records (e.g. student files, special education records, special education budget, etc.) in accordance with state, federal, and local regulations to ensure accurate and up to date information.
  • Coordinates and schedules a wide variety of appointments and events (e.g. IEP meetings, administrative meetings, staffings etc.) for the purpose of completing activities and/or delivering services in a timely fashion
  • Processes, completes, and coordinates a variety of correspondence and other administrative tasks as directed by the Assistant Superintendent of Student Services (e.g. notifications, forms, registrations, travel and lodging, surveys, etc.) for the purpose of disseminating information, facilitating communication, and/or coordinating activities
  • Prepares, processes, and maintains correspondence in reference to off-site placement (e.g. attendance, grade reports, referrals, placements, contracts, and graduation lists etc.) to provide accurate and timely information in accordance with established administrative guidelines and legal requirements.
  • Coordinate with Assistant Superintendent of Student Services to prepare, maintain, review, and request billings (e.g. IDEA budget, SDS, offsite tuition, residential tuition, transportation, purchases, purchase orders, annual budgets, maintain spreadsheets of expenditures etc.).
  • Creates, maintains, coordinates, and processes a wide variety of materials in reference to the I-Star Fund E & F and Harrisburg, for the purpose of tracking special education students (e.g. enter, update, modify student information, generate reports, resolve issues, support enrollment, reimbursements, technology issues, etc.) and tracking of personnel and home/hospital (e.g. enter, update, modify staff information, generate reports, maintain data and files, etc.) to ensure accurate and timely information in accordance with established administrative guidelines and legal requirements.

OTHER FUNCTIONS:

  • Procures supplies and materials for the purpose of maintaining the availability of required items
  • Participates in a variety of meetings, workshops, and/or trainings for the purpose of providing or receiving information, recording minutes, and supporting the needs of the attendees
  • Represents assigned administrator in his/her absence for the purpose of conveying and/or gathering information required for their functions
  • Participates in training for the purpose of providing or receiving information and updating skills as changes occur in district software
  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the school district

SKILLS REQUIRED:

  • Ability to demonstrate regular attendance and punctuality

  • Ability to maintain a professional demeanor in all situations and must be able to withhold confidential information appropriately

  • Ability to operate standard office equipment, including using pertinent job-related software applications; preparing and maintaining accurate records, and planning and managing projects
  • Ability to work well with all levels of internal management and staff as well as community members
  • Ability to communicate clearly and concisely, both orally and in writing, including clear, polite telephone communication skills and the use of proper grammar and punctuation to write routine reports and correspondence
  • Ability to work effectively as part of a team and with frequent interruptions
  • Ability to set work priorities and work efficiently under minimum supervision

PHYSICAL REQUIREMENTS:

Employees in this position must have the ability to sit for extended periods of time; enter data into a computer; operate standard office equipment; use a telephone; see and read a computer screen and printed matter with or without vision aids; hear and understand speech at normal levels and on the telephone; speak so that others may understand at normal levels and on the telephone.

WORK ENVIRONMENT:

The usual and customary methods of performing the job’s functions require the following physical demands; some lifting, carrying, pushing and/or pulling and significant finger dexterity. Generally the job requires 90% sitting, 5% walking, and 5% standing.

There will be an annual performance evaluation for this position.
