The primary purpose of this position is to provide leadership and oversight over the Provider Operations Unit of the Immunization Branch. The primary function of the Providers Operations Unit is to support the Immunization Branch's strategic plan and priorities by providing oversight of vaccine distribution, allocations and inventory management, the vaccine call center support and vaccine provider enrollment and maintenance activities. This position reports to the Immunization Branch Director and is responsible for the supervision and oversight of six full-time employees.
  • Supervision: This position is responsible for supervising the help desk staff, storage and handling and provider enrollment/maintenance staff. This person serves as the lead on vaccine distribution, allocations, inventory management, enrollment and maintenance and ensures vaccine storage and handling support.
  • Vaccine Call Center Support: Provide/equip DHHS leadership with Call Center status and updates, monitor and assess impacts of events, triggers and mandates on call center. Provide oversight of interactive voice response and routing design. Monitor call center staffing. Provide and update as needed call center performance metrics. Assist with unresolved or sensitive call center escalations. Provide final approval on call center related communications. Ensures call center support for provider guidance and assistance with the current IIS system as needed. Collaborate with other functions to evolve and execute call center strategy and initiatives and develops supporting business cases. Provides final approval on call center related communications. Provides feedback from calls to Continuous Improvement and Data Analytics, Education, Outreach, Communication and Provider Clinical Services.
  • Distribution, Allocations and Inventory: Serve as VFC vaccine distribution coordinator to ensure vaccine distribution is conducted in accordance with federal VFC eligibility criterion monitor and approve vaccine allocations and distribution to include monthly plan updates. Meets with pharmaceutical representatives to review and evaluate their products and educational materials. Support provider inventory management and track on-hand product inventory for upcoming expirations and support redistribution as needed. Provide oversight of vaccine inventory and management with a goal of less than 5% wastage within the Vaccines for Children Program. Ensure inventory management and best practices by providers across the state including restitution oversight and management. Ensure vaccine management memos/communications are updated annually and as needed.
  • Provider Enrollment and Maintenance: Oversees operations for Vaccines for Children provider enrollment, re-enrollment, unenrollment processes and site visit coordination and support to include Local Health Department Accreditation Letters, update site visit notification letters and site visit pick list for visits. This person oversees the storage and handling team to ensure consultation to medical and non-medical providers regarding vaccine visibility in the event of a temperature excursion or other vaccine storage issue. This oversight includes collaboration with vaccine manufacturers and CDC as needed to resolve complex storage and handling issues.
  • Preparedness Activities, Planning and Management: Serve as vaccine allocation lead on the DHHS Incident Management Team. Lead all vaccine allocation distribution effort during vaccine-preventable disease (VPD) outbreaks. Update the vaccine management Emergency Plan annually. Support the communications team on allocations communications preparation during a VPD outbreak. Lead the helpdesk team during a VPD outbreak while anticipating and mitigating provider support efforts. Ensure IIS provider support during outbreaks and ongoing. Ensure inventory management support and cleanup efforts during and after VPD outbreak. Ensure the Provider Operations staff complete initial and annual Incident Command Systems (ICS) and National Management System training (NIMS).

  • Ability to establish and maintain effective working relationships with agency personnel, officials, and the general public.

Bachelor's degree from an appropriately accredited institution and five (5) years of experience related to the area of assignment;
