Job Description
The Proposal Coordinator will play a vital role in our Business Development team, contributing to the successful pursuit and acquisition of RFPs and proposal opportunities from government, non-profit, and corporate clients. This position requires a detail-oriented person with exceptional organizational, communication, and writing skills, capable of managing the entire proposal lifecycle. The Proposal Coordinator will work closely with our team of experts to define custom technical approaches for potential client work in a supportive, fast-paced environment.
Key AccountabilitiesSearch for and vet opportunities
Research customer acquisition targets
Develop proposal win themes and strategy
Manage proposal process and coordinate team with submission deadlines
Write and edit compelling proposal content
Align cost estimates, pricing strategies, and proposed budgets with constraints
Ensure compliance and accuracy of all proposal elements
Maintain and curate project experience descriptions and team profiles
Manage proposal library and examples of business development content
Track sales pipeline in HubSpot CRM
Proactively facilitate connections with prime contractors, subcontractors, vendors
3-5 years of experience in proposal coordination or related sales operations role
Familiarity with government procurement process and regulations
A bachelor’s degree in business, communications, or a related discipline, OR compelling work experiences
Proficiency in Microsoft Word, Excel, Teams, and other relevant software
Experience with document publishing, layout, graphic design, HubSpot CRM
Strong time management, organization, and multitasking abilities
Excellent written and verbal communication skills, with attention to detail
- Experience with Adobe Cloud products (InDesign, Illustrator, Photoshop)
Experience working with a User Experience team and/or a UX design-focused agency
Certified or working toward APMP certification
Knowledge of human-centered design process or user experience (UX) research and design
Knowledge of digital strategy, design, or customer experience research work across various markets
Proven ability to work in teams and meet strict deadlines
Excellent presentation skills and ability to connect well with people

Scheduling & travelThis is a full-time position with the ability to work remotely or from our Olympia or Seattle, Washington offices. Occasional travel may be required.

Actual compensation is influenced by a wide range of factors including but not limited to skill set, level of experience, and responsibility. The range of starting pay for this role of Proposal Coordinator is $29.00 - $45.00 per hour + Benefits.
