The Project Coordinator assists the Project Managers in organizing active projects. This involves working with stakeholders to clarify and define products while communicating between the Project Managers, Sales, and Engineering departments, monitoring project plans to assist in maintaining schedule, attending Tier III status meetings, and aiding in the completion of projects on time and on scope.

Essential Functions / Responsibilities:

  • Assist Project Manager in following approved methods and current processes to bring work into compliance.
  • Clarify and define scope requirements, including following through on unanswered questions between customers, sales, and engineering.
  • Create and maintain operational documents, such as building specifications, stakeholder registers, action item lists, metrics, and Quality Assurance Check (QA) collaboration.
  • Assist with preparing necessary materials and presentations for meetings; document and follow up on important action items and decisions from meetings.
  • Assist in scheduling and organizing customer onsite inspections.
  • Assist with project risk assessments using risk management techniques.
  • Coordinate shipping of projects to include driver scheduling, travel arrangements, delivery, inspections and filing expense reports.
  • Ensure projects follow appropriate processes and work with leadership to improve process compliance.
  • Coordinate vehicle graphics, Nomad badging, and project photos.
  • Work with Project Managers to address issues that may arise on projects and implement internal improvements.
  • Work with the Senior Project Manager to improve the project management processes and methods.
  • Provide administrative support as needed.
  • Coordinate required training and assist with scheduling.
  • Run reports for project long lead items and open purchase orders.
  • Work with Project Managers to manage “end of project tasks” (i.e., scheduling marketing photos, ensure logos are installed on vehicles, delivery documents, vehicle measurements, and final sign off documentation).
  • Manage project duties as assigned.

Project Coordinator Requirements:

  • Excellent verbal, written and presentation skills.
  • Ability to work effectively both independently and as part of a team; strong collaboration and teamwork skills.
  • Experience using computers, for a variety of tasks.
  • Proficiency in Microsoft applications including Word, Excel, Outlook, and PowerPoint.
  • Knowledge of file management, transcription, and other administrative procedures.
  • Solid organizational skills with attention to details.
  • Ability to multi-task and work on tight deadlines.
  • Ability to prepare and interpret flowcharts, schedules, and step-by-step action plans.

Physical Demands:

  • While performing the duties of this job, the employee will be required to use hands and arms to finger, handle, feel, reach, or operate objects, tools, or controls.
  • The employee is frequently required to stand, walk, climb, balance, stoop, kneel, crouch, crawl, talk, hear, and is occasionally required to sit.
  • The employee must frequently lift and/or carry up to 25 pounds and occasionally lift and/or move up to 50 pounds. Anything heavier than 50 pounds will require two people to lift / carry.
  • Specific vision abilities required by this job including close vision, distance vision, peripheral vision, depth perception, and the ability to distinguish individual colors.

Working Environment:

  • Typical indoor office environment, long periods of computer-related work, constant interruptions, and high levels of stress at times. The work environment is a partially environmentally controlled indoor environment. Depending upon the time of year, temperatures can fluctuate between 60F and 100F but is typically around 70F. There are times when working outside will be required.
  • The employee may be subjected to noise levels, ranging from low volume to loud and will be required to wear provided safety hearing devices from time to time, which will be provided.
  • There is some exposure to strong odors and fumes.
  • All Team Members must wear provided OSHA approved eye protection at all times in manufacturing areas. The employee will be required to wear provided safety eyewear throughout the performance of their duties.

Qualifications & Experience:

  • Associates degree in related field and/or minimum 3 years Team Lead experience at Nomad GCS are required.
  • Minimum of 2 years of office management or executive level administrative experience.
  • Must possess a valid Montana Driver’s License.
  • Primary Schedule is Monday-Friday, 8am-5pm; however, the successful candidate must be able to allow for a flexible schedule on an as-needed basis to accommodate after-hours meeting and project deadlines.
