Finance & HR Coordinator Job Announcement

Job Summary: The Finance and HR Coordinator is responsible for providing Finance and Human Resources support within the US. This includes preparing biweekly payroll for US-Based employees, coordinating end of month and end of year closure with the Interim Finance & Admin Manager, ensuring EPI’s HR software tool and database is up to date, and supporting hiring and exit processes. This position is temporary and will support the Finance Department for a minimum of 6 months during the hiring and onboarding process of a new Executive Director and Finance Director, with the possibility of a continued role depending upon organizational needs and funding.
Responsibilities:
Finance
- Conduct a monthly reconciliation of US based bank and credit card accounts
- Coordinate with the finance manager on the month end closing and financial reporting process including data uploading of monthly field ledgers into QuickBooks Online.
- Maintain and update Zapier connections between Salesforce and QuickBooks Online
- Prepare Bi-weekly payroll for US based employees, including maintenance of payroll records and
timely payment of payroll liabilities and federal, state, and local taxes - Assemble information for external auditors for the annual audit
- Comply with local, state, and federal government reporting requirements
- Follow GAAP accounting standards
Human Resources
- Work with hiring supervisors to recruit, interview, and hire new employees
- Complete onboarding process and documentation for new hires following EPI policies and procedures
- Oversee HR information in BambooHR platform for US based employees, including onboarding, leading an occasional audit of necessary documentation, and maintenance of employee job information and benefits information
- Maintain EPI website’s “Meet Our Staff” page
- Coordinate exit processes with supervisors, ensuring proper closeout activities are conducted, property is collected, and necessary documentation is completed
- Recommend improvements to forms, processes and procedures as appropriate
- Periodically serve as Duty Officer on the 24 hour/ERS cell phone
- Other tasks as assigned by supervisor
Qualifications:
Required:
- Associate's degree in accounting or business administration, or equivalent business experience,
as well as a knowledge of bookkeeping and GAAP. - Demonstrated effectiveness in written and verbal communication
- Excellent time management skills and ability to prioritize projects as necessary
- High degree of organization and attention to detail
Preferred:
- Bachelor’s degree in accounting, human resources or business administration
- 1+ years of payroll experience
- Experience working with QuickBooks Online, QuickBooks Payroll, BambooHR, Zapier, Jotform and Salesforce
Compensation: This position is compensated at a rate of $19.87/hr or 3443.33/month at 1.0 FTE. In addition, this position is eligible for a benefits package that includes paid time off, sick leave, holidays, health and dental insurance, and other benefits as detailed in EPI’s Employee Handbook.
Schedule and Location: The Finance and HR coordinator is a temporary, full-time position based in EPI’s office in Missoula, Montana. Schedule and total hours may be flexible for applicants that are currently enrolled in a related program, but at least 25 hours per week will need to be spent in EPI’s office during business hours of 9am-5pm, M-F.
