- Employee is expected to provide quality level customer service in all situations encountered in the job. Timely responses and an attitude of professionalism are required of this position. Employee is expected to understand and follow agency practices in collaboration with other teammates in the organization. Punctuality and attendance are baseline requirements for the position in order to maintain the agency's high level of excellence in customer-oriented service.
- Retrieves messages from agency voice mail and forwards to appropriate staff member or department. Answers incoming telephone calls, determines purpose of caller, and forwards calls to appropriate staff or department. Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable. Answers questions about organization and its services and provides callers with address, directions, and other information.
- Receives, date-stamps, sorts, copies and routes incoming mail. Maintains routing logs. Records and stamps outgoing mail using a meter; maintains routing lists; delivers outgoing mail to post office.
- Accepts payments for services and provides appropriate receipts. Prepares record of payments for specific departments and Finance Department. Takes deposits to specified banks.
- Write, type or enter information into computer to prepare correspondence or documents, copying information from one record to another as needed. Assist customers in preparing application forms. Prepare requisitions, maintenance or travel requests, develop flyers, proposals, assist in developing employee newsletters, and other materials. May compose and prepare answers to routine letters or inquiries. Proofread copy for accuracy before submitting to supervisor.
- Maintain data base of customers, partners, contractors, etc. as directed.
- Welcome on-site visitors, determines nature of business and announces visitors to appropriate personnel. Monitor visitor access. Answer questions about organization. Issue and retrieve customer service office surveys during visits.
- Perform related duties as directed. Performs all duties in accordance with performance standards, SOPs, agency practices, and program regulations.
- Assist with Corporate and Agency Program functions.
Must be able to type or keyboard at least 50 words per minute accurately.
