?General Statement of Responsibilities:
Provides administrative assistance to the Director of Student Services, performing work directly related to the management of state and federal laws governing special education, English Acquisition programs, and other support programs; plays an integral part in providing a service-oriented relationship with students, parents, and district staff; ensures the smooth and efficient operation of the Student Services office; maintains a high level of confidentiality; regularly exercises discretion and independent judgment.
Essential Functions:
  • Compiles and monitors data for compliance with State and Federal guidelines including but not limited to student count verification of students receiving services from July to October 1st of the on-site count, data entry, and reconciliation, ADE Involvement Parent Survey, Personnel Report, and Parentally Placed Private School students.
  • Responsible for AzED's reporting of "Needs" and "Student Programs" for Special Education and Gifted along with editing any integrity errors daily, Preschool Outcomes Reporting;
  • Identifies and participates in relevant ADE trainings and AzEd's reporting;
  • Collects, processes, reconciles, and updates student and assessment data for automated reporting in multiple software programs including End of Year Roll Over; Access Database; PowerSchool, Pearson Access, AzED's Reports, E-IEP Pro, E-ELL Pro;
  • Test coordinator for Alternate Assessments and spring Alternative ELPA testing;
  • Completes state-required "Annual Data reports" for special education including, but not limited to Teacher Attrition Rate Survey, Preschool Transition, Exit Report, and Discipline Reports;
  • Assists with annual budget, DAA Requests, obtaining quotes, purchasing, ordering, and inventory, for special programs as well as Independent Education Evaluations and contracted services (nursing, related services, etc.);
  • Provide support program data for OCR reporting to the Federal Office of Civil Rights;
  • Assists in preparing Needs Assessment and Program Evaluations for the department;
  • Supervises Student Services department clerical positions and evaluations;
  • Create Student Services rosters for Case management/Services for Student Services
  • Oversees maintenance of confidential student compliance files for state and federal programs;
  • Ensures proper and timely routing of record transmittals for the department;
  • Assists school staff with registration of students requiring specialized instruction;
  • Processes and tracks new student screenings/referrals for special programs district-wide;
  • Coordinates interpreting and translation services for parents/students through contracted organizations;
  • Processes specialized transportation for students with needs;
  • Maintains and coordinates destruction of archived records according to Arizona State Records Management regulations;
  • Prepares public notices for Child Find Activities and AzEIP;
  • Prepares TimeClock and/or Time and Effort for specialized departments in Student Services;
  • Creates and updates state-required forms for Student Services areas;
  • Collaborates with Southeast Regional Cooperative for Hearing and Visually Impaired students as well as requesting assistance online referral;
  • Coordinates with proper staff to maintain residential and institutional voucher compliance
  • Inventory of assistive technology devices and/or other student equipment
  • Set up an NAU account for Assistive Technology loans
  • Generates correspondence;
  • Performs other administrative, staff, and student-oriented tasks as assigned.

Qualifications:
A. REQUIRED EDUCATION, TRAINING & EXPERIENCE
  • Post-high school education or experience and/or completion of a technical training program or equivalent;
  • At least 3 years of experience working in a job with multiple responsibilities with at least one year of supervisory experience;
  • Demonstrated proficiency with computer programs, including Word, Excel, database management, and desktop publishing;
  • Ability to communicate and work well with staff, students, and public;
  • Experience with Student Management System for student needs reporting to state department.

  • Ability to handle large quantities of boxed records

Evaluation Procedure: In accordance with provisions specified in Governing Board policy.
Supervision Received: Reports to the Director of Student Services
Supervisory Responsibility: Responsible for the supervision of Student Services clerical positions.
