Job Summary:

The position is for responsible for facilitating the day-to-day operational activities of the Arizona Pregnancy Risk Assessment Monitoring
System (PRAMS). This position will work under the general direction of the PRAMS Coordinator and will provide technical guidance
and administrative expertise and ensure that team members are adequately trained to utilize the PRAMS Information Data System
(PIDS), analytic tools and platforms, data and contact sources and facilitate the team towards project execution.
The position will take a lead role in data management and reporting and will ensure compliance with regulations when working on
protocols. Will work independently and collaboratively in a hybrid office setting; manage the schedule of data entry, interviews, and
participant tracking and provide updates. Will support the overall goal of obtaining important data from AZ mothers and being the main
source of information for maternal health in AZ to provide strategic planning efforts among ADHS programs and policy throughout AZ.
Database management activities include: data entry, editing and correction of survey responses, looking for patterns, understanding
database design concepts and being able to participate in short and long-term planning about database projects. Data entry will also
require entry of Spanish responses into an English language database. Assures data security and confidentiality in adherence to the
CDC PRAMS protocol. Maintains contact with program participants through scheduled mailings and telephone follow up for surveying
potential respondents/participants. Will provide technical support for the CDC database system and the web based surveillance;
prepare mailing materials for project participants and participate in team meetings. Participant interviews will be scheduled during
evenings and weekends as needed. Completes data entry verification checks within the PIDS system and addresses any data quality
or entry issues which are flagged in the verification process. Prepares material about the PRAMS program to encourage greater
response rates among participants. Participates in outreach activities for PRAMS including participating in steering committee
meetings, attending relevant stakeholder meetings, and attending statewide meetings to advertise the program and its
accomplishments. Will assist with overseeing PRAMS contract operations including budget and procurement operations.
This position will facilitate and carry out operating procedures including scheduling, technical database assistance, maintain and update
of the PRAMS web page and resources, prepare a variety of technical and administrative reports; design various project management
platforms for tracking information, maintain various administrative and confidential files; archive and retention of files; prepare agenda
and necessary meeting documents. This position is responsible for safeguarding protected health information and for ongoing
compliance with program and ADHS policies, procedures and training requirements pertaining to the Health Insurance Portability and
Accountability Act.
Major Responsibilities/Essential Functions

This position is available for remote work on a full-time basis within Arizona (including virtual office arrangements).

This position may be available for remote work within Arizona (# days per week in the office/hoteling).
OR
This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.

Job Duties:

Data Management and Reporting - Overseeing the PRAMS CDC database management. Activities such as:
data entry, verification, data cleaning, addressing data quality or entry issues, survey and web data
management ,updating and training of the various elements of the CDC PRAMS protocol. Has a lead role in
assuring data security and confidentiality in adherence to the CDC PRAMS protocol. (Continued below)
Data entry will also require entry of Spanish responses into an English language database. Searches for
missing contact information using internal and external data sources to ensure that the surveys have every
chance to reach the correct individual. Thorough understanding of management and data administration duties
such as collection, analysis, and distribution. Provide technical support for the CDC database system.
Coordinating and conducting telephone interviews with project participants; tracking progress. Maintains
contact with program participants through scheduled mailings and telephone follow up for surveying.
Participate and lead in various team meetings. Some participant calling and interviews will be scheduled during
evenings and weekends as needed.
Take a lead role in carrying out program deliverables. Facilitate protocol training. Prepare a variety of technical
and administrative reports; design various project management platforms for tracking, maintain various
administrative and confidential files; archive and retention of files; prepare agenda and necessary meeting
documents.
Preparing mailing materials in English and Spanish per PRAMS protocol and ensure 100% accuracy.
Managing the CDC database schedule and keeping the team on track. Overseeing the web based surveillance.
Responsible for PRAMS contract operations; budget and procurement operations.
Participates in outreach activities for PRAMS including participating in steering committee meetings, attending
relevant stakeholder meetings, and attending statewide meetings to advertise the program and its
accomplishments.
Reconciles response with the birth sample in order to reach the targeted response rate from participants.
Identifies issues with the birth sample data file and addresses those with the relevant vital records office to
correct.
Prepares materials about the PRAMS program, in English and Spanish, to encourage greater response rates
among participants. Updating AZ PRAMS website, protocol and outgoing correspondence.

Selective Preference(s):

Bachelor’s degree in Public Health, Public Administration, Health Education, or a related medical/science discipline with 2 year's of
experience working in records management, data entry, patient/client interviewing, or program administration support within a health
related or public health field. Spanish speaking, reading, and writing skills are not required but preferred.
