Job description

Position Objective: Provide services as a Program Specialist Resource Manager in support of the overall functions of the National Institute on Aging (NIA) within the National Institutes of Health (NIH). National Institute on Aging, Division of Aging Biology, Translational Research Branch (NIA-DAB-TRB) is hiring a Resource Manager with the following qualifications: Excellent customer service skills , detail oriented and dependable , good account/records keeping , proficient use of Excel , and good written communication skills to generate reports.

Duties and Responsibilities:

  • Task 1 – Rodent Colony a) Orders Entering all grants to be ordered against in the online rodent order system (ROS) by reviewing the grants in QVR and pulling necessary information for ROS record to include start and end dates of the grants, contact information and what the grant is eligible to order. P30, P20, NON NIA grants, require additional collection of information including: award letters, specific aims, abstract, rodent information, IACUC approvals for non NIA grants. A special file is created for collected information. Keeping end dates current in online order system as grants are funded/NCE approval. Reviewing and approving or denying ROS user accounts. Some accounts are not approved due to a central order person at the facility where the customer is employed. Keeping a cross reference sheet. Ensuring that grant is eligible to order resource and what is ordered is outlined in the grant. Making age offers based on current inventory that falls within ±2 months of age listed in grant. Approving orders that are then pulled by Charles River. Processing all animal orders and special exception request orders. Entering special exception information as “grant file” into the ROS so that customer can place the order. Reviewing/approving/denying request for animal replacements and sending approved replacement form to Charles River to process. Collection of requests, record keeping and tracking for special project requests. Janko, PASS, SPAN. Working with the ROS Contractor to make improvements to the system. Making recommendations to the Contracting Officer’s Representative (COR) for adjustments to monthly entry levels based on supply and demand. Reducing animal inventory when space issues arise in the barrier rooms. Reviewing animal health monitoring, genetic monitoring, environmental monitoring, and serology reports 1

  • Create data collection plans and provide regular written reports detailing progress against tasks and milestones. Provide periodic progress reports that include updated status and progress on the contracted tasks.

  • Task 2 – Tissue Banks Coordinating all Tissue Bank (rodent and nonhuman primate) orders. Reviewing the investigator’s requests, aims of the project, discussing, if necessary, with the CORs, and establishing eligibility, including if regular or special request. Referring eligible requests to the Contractors for follow-up and fulfillment. Acquiring from the Contractor information on shipments and maintaining records of all distributions. Based on archived electronic files and spreadsheet, generating (at least yearly) detailed reports on tissue distribution and, where applicable, citations in publications.

  • Task 4 – TRB Shared Drive and Web Site Assisting with filing approved invoices, approval documentation, updating invoice tracking and filing contract paperwork. Monitoring the IRTB Web site for updates and report obsolete information to be changed. 2

  • Assist researchers to develop frequently asked questions and other informational and guidance documents.

  • Assist researchers to monitor site visit and answer questions from auditor and monitor.

  • Research and recommend processes and workflows for managing requests for materials. 5

  • Research and write standard operating procedures (SOP) for clinics and clinical trials.

  • Develop project schedules, quality assurance plans and budgets in accordance with stakeholder expectations. 4

  • Develop frequently asked questions and other informational and guidance documents. 3

    Basic Qualifications:

  • Master’s degree in general business, biology, or a related discipline.

  • Skilled in Microsoft Office and Rodent Ordering System (ROS).

  • Experience with screening, research, and SOPs.

    Minimum Qualifications:

  • Ability to multi-task and pay close attention to detail.

  • Excellent analytical, organizational and time management skills.

  • Strong communication skills, both oral and written.
