Job Description
The Desert Research Institute (DRI) is seeking an organized and dedicated individual to fill a full-time Program Specialist position. This role will enable you to use your organizational, reporting, coordinating, and relationship building skills. The Division of Atmospheric Sciences (DAS) focuses on a wide range of research that is used to help our Nevada communities and others across the world.
Under the Division Business Manager's (DBM) supervision, the Program Specialist will operate with independent judgement, discretion, and initiative in a variety of administrative, fiscal, and planning activities.
Responsibilities include, but are not limited to:
- Assist DBM with budgets and other proposal components required for submission, often deadline driven.
- Communicate with sponsors, Collaborators, FSO involving matters related to grants and contracts.
- Data entry using DRI timesheet program, ARGIS, and Workday.
- Processing tasks in Workday (PO's, P-card, Travel, invoices).
- Create and maintain complex spreadsheets for reporting purposes.
- Assist with monthly financial reports.
- Process recharge center invoices.
- Provide onboarding and assistance to new graduate students and/or faculty and staff; may require close coordination with HR
- Assist faculty with questions and requests.
- Help coordinate division meetings and recruitment events.
- Support annual inventory process, tracking fixed assets, following disposal procedures, experience using Assetworks.
- Support other division Program Specialists as needed.
Required Qualifications
- High school diploma or equivalent AND 4 years of related experience OR an Associate's degree with 2 years of related experience.
- Advanced computer skills with MS Office Excel, Word, and Adobe Acrobat
- Intermediate knowledge of databases.
- Ability to maintain confidential and sensitive information and documentation.
- Strong organizational, interpersonal, and communication skills.
- Ability to prioritize assignments and commitment to meet deadlines.
- Detail-oriented with strong degree of accuracy and reliability as well as sound judgment.
- Ability to work independently and carry out assignments with minimal supervision.
- Ability to establish effective working relationships with fellow employees, departments, and other campus personnel.
Preferred Qualifications
- Bachelor's degree in a related field from an accredited institution.
- Knowledge and familiarity with budgets, and the budget process.
- Experience working in a research, non-profit, or university setting.
- Experience with database software (ARGIS, Assetworks).
- Experience with Workday (financial and personnel management system).
Conditions of Employment
- This position may require the ability to perform physical tasks, such as moving or lifting objects up to 10 lbs., and occasional stooping, bending, and kneeling. Sitting and staring at a computer screen for long periods of time.
- Must have a reliable internet connection with speeds that can support team conference calls and screen sharing during days of remote work. This position is not fully remote and will require relocation to Northern Nevada.
Compensation Grade/Benefits
This is a DRI Technologist position Grade 33 with a minimum starting annual base salary of $52,484. Candidates will be hired at the level that is comparable to their experience, skills, and abilities.
DRI offers a benefits package that includes health, dental, vision, and life insurance (Flexible spending and health savings account options available); PERS 17.5% retirement match, 10 hours of annual leave and 10 hours of sick leave accrued per month, 12 paid holidays, and educational benefits. Additionally, there is no state income tax or social security deduction. This position is eligible for relocation assistance.
