Job Summary:
This position is responsible for serving as the Admissions & Joint Admissions Medical Program (JAMP) Medical SchoolProgram Manager. The Program Manager provides management and coordination of the JAMP summer programs, including mentorship of student participants. The position also assists with key admission responsibilities for the School of Medicine. This position has a reporting responsibility to the Director of Admissions within the School of Medicine.
Major Responsibilities / Duties / Critical Tasks:
JAMP
Manages, coordinates and organizes JAMP summer programs (events, hotel reservations, oversees implementation of curricular activities as set forth by the Vice Dean, evaluations).
Provide schedule to students for reporting full-length MCAT exam scores to JAMP Medical School Coordinator (MSC) and JAMP Faculty Director (JFD) for tracking (Following Summer I program, if applicable).
Mentor students that attend(ed) the SOM's summer program for one year.
Supervise TA's for the JAMP Summer Program.
Follow-up with students at least once a semester (more frequent contact is encouraged) to inquire about students' activities and progress.
Answer questions students have regarding Medical School application process and any other issues.
Attend Pre-JAMP activities arranged by JFDs at regionally assigned institutions. Conduct presentation and, if possible, arrange for JAMP medical students to participate.
Plan and organize your institutions' symposium for Pre-JAMP students from regionally assigned undergraduate institutions to organize trip for Pre-JAMP students selected by JFDs to attend a symposium or campus visit at the SOM.
Manage JAMP screening, selection and interview process.
Distribute scholarship checks to JAMP medical students.
Organize and maintain JAMP medical student group activities in order to retain close relationships with students.
Provide academic status and updates on JAMP medical students to the administrative office.
Oversee JAMP medical students' involvement in Medical School activities such as attending Pre-Medical fairs (recruiting, Pre-Medical Conferences, assisting with interview days, etc.
Assist with the preparation of the annual budget and end of year expense report.
Completion of the activity report, when requested.
Attend JAMP council meetings and/or retreats to discuss JAMP policy and program improvement.
Maintain communication with other JAMP Medical School coordinators on JAMP related matters.
Contribute to marketing and social media efforts to ensure that potential applicants are well informed about the SOM.
Admissions
Counsel and advise potential applicants on admissions requirements for the SOM.
Provide contact with applicants who call, email, and/or come to the Office of Medical Admissions seeking assistance and triage applicant requests to appropriate resources.
Attend regional and national admissions fairs sponsored by the Association of American Medical Colleges and/or the School of Medicine to support the recruitment of highly qualified diverse applicants.
Attend recruiting activities locally, which include but are not limited to, presentations, recruiting events, second visit program, and orientation.
Provide outreach and function as a liaison to premedical advisors at various colleges and universities to ensure that they are updated on admissions standards and requirements and pathway opportunities.
Assist with overseeing the processing of over 6,000 applications from the Texas Medical & Dental Schools Application Services (TMDSAS)
Assist with the preliminary screening of applications to determine the applicants who will undergo further review for interview eligibility.
Assist with designing and evaluating survey materials for applicants, accepted students, interviewees, etc. Analyze and distill data from surveys to inform the admissions process.
Monitor and maintain files for changes and completion.
Update applicants' records in database with any new information from applicants.
Document fee waivers, policy exceptions, and any unique dispensations involved in an applicant's candidacy. Communicate with associate deans and director regarding exceptions/accommodations.
Assist associate dean and director with evaluative metrics and research projects focusing on holistic review, mission-driven admissions, and access/inequality in medical education.
Assist with the management and coordination of student interviewing schedules, tours, housing, information, and meals. Work closely with medical staff, students, and other members of the SOM community to ensure prospective applicant's needs are met and questions are answered.
Interpret admissions, SOM, Campus and University policies, regulations, and rules insofar as they affect the admissions process.
Perform other related duties and participate in special projects as assigned.

Required Education / Experience:
Bachelor's degree required. Master's degree preferred.
Minimum of 3 years' experience in higher education enrollment management or student affairs preferred. Experience in medical education preferred.
A combination of education and experience may be considered.
