About Us

Aliados Health is a network comprised of 16 community health center members with sites in Marin, Napa, Sonoma, Contra Costa, Solano, and Yolo counties. Our mission for more than 25 years has been to improve access to and the quality of care for underserved and uninsured people in our six counties, as well as extended areas of the Health Center Controlled Network (HCCN) within Northern California. Aliados Health’s major focus is to strengthen the capacity of member health centers (members) to act together as a coalition that provides access to consistently high-quality clinical care, effective care coordination, and reduced health disparities. Aliados Health supports our members in four areas: Policy, Population Health, Informatics, and Access and Equity.

Position Summary

Reporting to the Quality Improvement Senior Program Manager, the Program Coordinator II is primarily responsible for supporting day-to-day activities to improve population health across our member health centers. Quality Improvement programs are funded by member fees and grants. This position is a member of our Aliados Health Informatics team that develops, implements, and evaluates population health, quality, and practice transformation strategies to improve the health of the patients, families and communities served by Aliados Health member and HCCN health centers. This position will provide coordination for quality improvement and programs within the Informatics Department. Day-to-day activities can vary from calendar and event management to project implementation and one-time assignments. Flexibility, curiosity, and initiative are essential traits for a successful candidate.

Minimum Qualifications

  • 2-4 years’ experience in an administrative support position.
  • Two years of Program Coordinator I or equivalent work experience.
  • Minimum one year experience in healthcare, public health, social service, or related area.
  • Minimum one year’s experience in administrative/customer service-based work.
  • One year’s experience using spreadsheets.

Preferred Education/Experience

  • Associate degree or equivalent experience.
  • Experience within a health care organization or safety net non-profit in an administrative or program support role preferred.

Essential Duties

Below are typical examples of work performed by this position, not a comprehensive inventory of all duties, tasks, and responsibilities. Employees may perform other duties as assigned.

  • Coordinates the day-to-day activities of programs.
  • Provides coordination support for Aliados Health program teams with considerable time spent on calendar management, scheduling convenings and/or trainings, preparing agendas, presentations and meeting materials, producing meeting minutes, event management, and posting resources to Aliados Health’s website and member web portal.
  • Send and track documents that need signature through online tool and ensure they are saved and documented accordingly, including contracts, MOUs, and other agreements.
  • Support the implementation of projects and tools.
  • Provide resources to health center member personnel requesting assistance.
  • Assist with documentation of promising practices and workflows, using online tools.
  • Provide administrative support for grant proposals and compliance.
  • Attend and provide support to Aliados Health peer networks meetings as requested.
  • Assist Aliados Health staff in development and implementation of training and technical assistance programs for health centers.
  • Communicates in a professional and timely manner with Aliados Health, member health centers and key partners.
  • Meet weekly with Supervisor to coordinate activities and events, and review and update job scope of work.
  • Attend program trainings and apply learnings to work. Maintain expertise as required.
  • Maintain database and pull reports as needed for program and support of data reporting activities as needed.
  • Support training coordination and implementation.
  • Serve as a resource to and collaborates with health centers in the implementation and monitoring of programs.
  • Communicate in a professional and timely manner with Aliados Health, member health centers and key partners.
  • Other responsibilities may be added as the position evolves.

Knowledge

  • Interest in and enthusiasm for working with the community and helping those in need.
  • Knowledge about public health, health access, quality improvement programs, and/or public benefit programs preferred.
  • Knowledge of data entry, data management, and technology preferred.
  • Experience with or knowledge of grants preferred.
  • Knowledge of community resources and networking ability preferred.

Skills

  • Demonstrated ability to coordinate and implement training programs preferred.
  • Demonstrated experience with calendar management, responsibility for meeting planning, producing minutes, and utilizing virtual meeting technology.
  • Ability to manage multiple virtual meeting technologies (WebEx, Zoom, Teams, other).
  • Strong organizational skills with ability to prioritize projects and meet deadlines.
  • Computer literacy and intermediate to advanced ability to use required software applications, especially Microsoft Office 365 and related online applications.
  • Exercises good judgment, problem solving and decision-making skills, ability to identify needs and suggest solutions.
  • Strong written and oral communication and strong interpersonal and customer service skills, friendly personality, and comfortable speaking to a group.
  • Capacity for and interest in learning, willing to ask thoughtful questions.
  • Proficiency in basic mathematics and analytical comprehension.
  • Ability to comprehend and navigate complex program requirements.
  • Demonstrated ability to maintain confidentiality with discretion.
  • Ability to be a positive team member and work independently and execute assigned tasks.
  • Demonstrated ability to handle confidential information.
  • Proficiency in spoken Spanish is preferred but not required.

Requirements

  • While performing the duties of this job, the employee is regularly required to sit, stand, carry, drive, see, speak, keyboard, and hear.
  • The employee must occasionally lift and/or move up to 30 pounds (box of paper).
  • Specific vision abilities required by this job include close vision, distance vision, color vision and the ability to adjust focus.
  • Must be able to pass background check.

Working Conditions

  • This is a hybrid position. Work is normally performed in a typical office environment as well as outside locations including member health centers, government buildings and community venues.
