Job description

Responsibilities:
Program Coordinator:
  • Assists with organizing a variety of projects, functions, and school events to include faculty meetings, scholarship competitions and exhibition openings
  • Monitors student drop-off and pick-up; supervises students during arrival and dismissal; assists in the classroom as needed
  • Provides faculty support such as printing/preparing classroom materials, distributing supplies and other duties as needed
  • Supervises and cares for students sent to the office for early pick-up
  • Responds to registration inquiries via phone, email and in person, and posts announcements regarding start of semester, holidays, school closures, etc.
  • Processes student enrollment, tuition payments, misc. sales (aprons, t-shirts, bags)

  • Serves as back-up for the reception desk and in the classroom, in the event of an absentee or late employee, to include substituting if the need arises
  • Assists Administrative Dean with exhibition installations, to include preparing artwork (matting and framing finished work), creating and mounting labels
  • Proofreads and edits course schedules and school publications
  • Stocks, organizes and distributes classroom/office supplies as needed
  • Generates address lists for school mailings and eblasts
  • Assists with special projects and other duties as needed

Communications/Marketing/Web:
  • Works closely with the Administrative Dean & Glassell Marketing Manager to identify and prioritize digital content needs for the Glassell Junior School to include writing and editing text & providing images for web pages, and social media pages (Facebook, Twitter, etc.)
  • Liaise with Glassell Marketing Manager to ensure that Glassell Junior School information and materials flow through proper MFAH editorial processes
  • Works with Glassell Marketing Manager to follow up on e-marketing and web communications to continually address outreach needs, including working to promote new course offerings and undersubscribed programs.
  • Works with Glassell Marketing Manager to update Glassell Junior School information on MFAH calendars and publications

Skills, Knowledge and Abilities:
  • Excellent attention to detail and organizational skills
  • Excellent interpersonal skills; ability to resolve conflicts
  • Ability to collaborate while also working with minimum direct supervision
  • Strong verbal and written communication skills
  • Ability to multi-task and manage multiple projects in a fast-paced environment
  • Strong proficiency in Microsoft Office suite
  • Ability to work some evenings and weekends as needed or required

Education and Experience:
  • Bachelor's degree in arts, humanities or a related field preferred OR an equivalent combination of experience and education from which comparable and demonstrable knowledge, skills and abilities have been achieved.

  • Experience working with children ages 3-18 (in a school setting) preferred
  • Energetic, enthusiastic, self-starter

Title: Program Coordinator and Communications Liaison, Glassell Junior School
Reports to: Administrative Dean, Junior School, Glassell Junior School
Classification: Non-Exempt/Hourly
Schedule: 35-hour work week

Work Location: Glassell School of Art
Work Schedule
Full-time, non-exempt, hourly position, requiring a full-time work schedule of a minimum of 35 hours each week. Extensive in-person work schedule is a regular part of this role given the requirements, responsibilities and in person engagements. We understand and support work-life balance and work hard with staff to provide flexibility to support the realities of life.
Working Conditions and Other Requirements
  • Must be able to work under time constraints and within established or at times, inevitable or unavoidable, changing deadlines
  • Work is primarily performed in the Glassell School of Art, which is an indoors climate-controlled environment. Occasionally some engagements will include outdoor environments. May be exposed to various environmental and event related factors such as but not limited to music, and crowd noise at a high, medium or low noise intensity
  • May include prolonged sitting and standing, with occasional extended walking.
  • Ability to collect and analyze numerical and written data and verbal information to reach logical conclusions
  • Ability to work under deadlines and sometimes changing requirements or expectations in an appropriate manner

  • Reserve Time Off - Used for extended illnesses. Employees accrue up to 6 days per year, up to a maximum of 120 days
  • Holidays - Full-time employees receive ten paid holidays per year
  • Volunteer Time Off - The MFAH supports activities that enhance and serve the communities in which we live and work. Employees receive up to 40 hours of paid time off annually to give back and volunteer.

Compensation:
Salary will be commensurate with the applicant's experience and the needs and requirements expressed in the job description. The MFAH has set the pay range for this job and level as a general guideline and not a guarantee of the compensation amount or salary. A salary range for this role has been set but we know additional factors may be considered in extending an offer including (but are not limited to) responsibilities of the job, education, candidate experience and unique qualifications, knowledge, skills, and abilities, the needs and requirements expressed in the job description, as well as internal equity, and alignment with market data, and any related regulations or other laws.
